NextEra Bookkeeping is a remote‑based strategic bookkeeping practice. We work closely with growing businesses, their virtual CFOs and tax accountants to deliver accurate, reliable data and seamless financial management. Led by a CPA with almost a decade of public‑practice experience, we leverage modern technology to save clients time and enable high‑value advisory services.

The Opportunity

As our client base grows, we are seeking a proactive Operations & Client Support Manager to join us on a part‑time basis (15–20 hours per week). You will work directly with the Managing Director & bookkeeping staff to keep our boutique practice running smoothly, ensure deadlines and compliance obligations are met and contribute to efficiencies in how we deliver our premium services. This role is fully remote, Australian‑based and includes all necessary equipment (laptop and office setup). Hours can expand in 2026 as the firm continues to grow.

Key Responsibilities

  • Workflow & Deadline Management: oversee daily task lists, flag upcoming BAS/IAS/payroll lodgements and keep jobs moving so nothing falls overdue. Assist in identifying daily/weekly priorities to align with client commitments.
  • Process & SOP Maintenance: convert training videos and notes into clear checklists and standard operating procedures; update documentation as processes evolve and suggest efficiency improvements. Ensure workflows are maintained and jobs/tasks are ready for the bookkeeper to work on.
  • Client Onboarding & Coordination: once a client signs with us, lead the onboarding process - collect documentation, set up Xero files and workflows, liaise with the client's accountant/CFO and ensure our senior bookkeepers have everything they need to start work.
  • Client & Staff Liaison: serve as the first escalation point for client questions; coordinate with clients and external advisors to resolve queries; assist with client onboarding and general support for our growing team.
  • Compliance & Quality Oversight: track ATO obligations, ensure procedures are followed and step into bookkeeping or review tasks during peak periods or staff absences.
  • Metrics & Reporting Assistance: work with the Managing Director to maintain accurate practice metrics, compile status reports and help interpret data to improve performance.

What You'll Bring

  • Experience: Minimum 2 years of experience in a bookkeeping role within an Australian bookkeeping or accounting practice. Previous Client Service Manager role highly regarded.
  • Technical skills: Solid working knowledge of Xero & XPM. Confident with Microsoft Office.
  • Organisation: Outstanding time‑management and prioritisation skills; you thrive on keeping yourself and others accountable to deadlines.
  • Communication: Professional written and verbal communication skills, with the ability to draft client emails and liaise with accountants and CFOs.
  • Proactivity: A self‑starter who can identify improvements, suggest solutions and manage tasks independently.
  • Adaptability: Willingness to jump into bookkeeping or review tasks when required; open to learning new technologies that enhance our operations.
  • Qualifications: Certificate IV in Bookkeeping or equivalent accounting qualification.
