Administrative Assistant – DRW Entertainment (West Melbourne)
Part-Time, 3 days a week, working from our West Melbourne Office
With the potential of moving to full time.
We're looking for an enthusiastic, organised, proactive Administrative Assistant with a can-do attitude to support our busy entertainment business. This role is perfect for someone with strong admin skills who enjoys variety and working in a creative industry. This role reaches across many areas of DRW Entertainment reporting to the Tour Coordinator/Operations Lead.
What you'll do:
- General office and admin support –
- handle emails, calls, social media messages, maintain and organise physical and digital files, databases & online platform updates.
- Assist with customer service, including ticketing enquiries and VIP guest coordination.
- Assist with ticketing build processes and communication with venues from the beginning to the end of the touring process.
- Generate weekly ticket sales reports for internal use.
- Assist management with sales reports, budgets and reconciliations in different projects.
- Support marketing activities – update social media, send e-newsletters, help arrange posters and other promotional materials, schedule content in line with tour announcements/ updates and merchandising.
- Coordinate the visa process for touring entertainers by gathering documentation from managers/agents, handling applications, coordinating with unions (MUA & MEAA), submitting and tracking online applications, liaising with Immigration, and ensuring all visas are approved on time for the tour party's arrival.
- Help with online orders and merchandise packing when needed.
- Provide support to team members across different departments as needed.
What we're looking for:
- At least 1 year in an admin or office support role (within a similar role, preferably within the music industry)
- You are goal-oriented, action-focused, with an ability to manage multiple conflicting priorities and last-minute changes.
- Strong organisational skills – able to juggle multiple tasks, meet deadlines and have great attention to detail.
- Clear communication skills and ability to work to a high standard with different stakeholders under a fast-paced, deadline-driven environment.
- Confident using Microsoft Office, Gmail and online platforms (training provided on others like Shopify and Audience Republic).
- Must be good with numbers and systems, spreadsheets and platforms are our day to day life.
- A positive, flexible approach – occasional nights, weekends or travel may be required.
- Have problem-solving skills, think outside of the box and get excited about end-to-end project delivery.
