The College of Intensive Care Medicine of Australia and New Zealand (CICM) is responsible for intensive care medicine specialist training and education in ANZ.  We support the The Intensive Care Foundation (ICF), a not-for-profit charity dedicated to improving patient care, raising funds for clinical research, education and improvement projects initiated by health professionals.

Together we are seeking an experienced administrator to support executive meeting functions, fundraising and grants administration across both organisations.

Day to day this includes:

  • Administration around EOI, applications, grant awards, contract administration, data maintenance, milestone monitoring and reporting
  • Event and meeting co-ordination and administration, including activities such as event invitations, marketing and communications, preparation of event supplies, liaison with venues and suppliers, payment processing, travel arrangements, event set up & pack down.
  • Committee meetings administration, including preparation and distribution of agendas and documentation, minutes, venue and travel arrangements, and action item progress.
  • Event, fundraising and donor invoicing, receipting, reconciliation, budget reporting.
  • Liaison with corporate sponsors, committee members, donors, event suppliers.
  • Assist in the design, printing and distribution of marketing materials.
  • Maintain data for email distribution lists, document registers, etc
  • Drafting correspondence, website and marketing communications.
  • Implementing administration process improvements.

For success in this role you will:

  • Bring solid administration and service experience, gained from a professional working environment.
  • Be capable of developing a good understanding of our policies and processes, with a proactive approach to administration improvements.
  • Have strong organisation and prioritisation skills, and the ability to meet deadlines whilst maintaining very high levels of attention to detail and quality in your work.
  • Be happy working autonomously and be a team contributor.
  • Bring competency in the MS Office suite and ideally SupporterHub or another CRM.
  • Above all you will possess the interpersonal and communication skills to confidently interact and connect with professionals.
  • There will be some travel within Australia and New Zealand to assist with events.
