Saltbush are on the lookout for a proactive and detail-oriented Course Administrator to join our team

In this role, you'll play a key part in keeping our operations running efficiently by supporting day-to-day administrative tasks, liaising with staff and stakeholders, and helping deliver smooth, professional service across the Employment Services team.

Position Details:

  • Location: Darwin
  • Employment Type: Permanent Full-time
  • Remuneration: $65k + 12% super + salary packaging + 5 weeks annual leave
  • Reports To: Employment Services Management Team (Darwin)
  • Hours: Normal business hours, with occasional additional hours as required to meet business needs, including some out-of-hours flexibility when necessary
  • Travel: Travel to regional locations where Saltbush operates may be required and will be planned in advance with mutual agreement

Primary Purpose of Position: The Course Administrator is integral to the successful delivery of Employment Services (ES) programs, providing high-level administrative and logistical support to ensure smooth and efficient program operations.

This position is responsible for managing multiple priorities, coordinating meetings and stakeholder communications, maintaining accurate records, and supporting reporting processes. The role demands strong organisational capability, exceptional attention to detail, and the ability to operate effectively both independently and as part of a dynamic team within a fast-paced environment.

Key Responsibilities:

To ensure success in your role as an Course Administrator, you will:

Data Management & Reporting

  • Maintain accurate program records, including participant registers, files, and documentation for internal and external use.
  • Track reporting timelines and support the team by providing reminders and assistance to ensure submissions are completed accurately and on time.
  • Enter data into program databases and reporting systems in a timely and accurate manner, supporting compliance and funding obligations.

Communication & Stakeholder Coordination

  • Respond to general phone and email enquiries, redirecting them appropriately or providing standard responses.
  • Coordinate communication with internal and external stakeholders, including community partners and participants, as required.
  • Collate photos and written context from program activities to be provided to the People & Communications Officer for the creation and scheduling of social media content.

Meeting & Event Support

  • Schedule and coordinate internal and external meetings, including diary management, venue planning, catering, and transport arrangements.
  • Prepare meeting materials, collate agenda items, and take accurate minutes for timely distribution.
  • Organise catering and logistics for program activities and events, ensuring appropriate support is in place.

Travel & Resource Coordination

  • Assist with travel planning and bookings for team members in line with Saltbush procedures.
  • Manage program resources and office supplies, including ordering and maintaining stock through approved procurement processes.
  • Support the use and tracking of program digital devices (e.g. laptops, mobile phones), including basic troubleshooting and liaison with IT for support as needed.

Internal Collaboration & Compliance

  • Liaise with Saltbush internal services (e.g. finance, recruitment, IT, marketing, quality and risk) to coordinate and follow up on program-related tasks.
  • Ensure administrative tasks comply with Saltbush policies, procedures, and information management standards.
  • Handle sensitive information with discretion and uphold confidentiality and risk management practices.

Essential Criteria:

  • Strong administrative skills with advanced proficiency in Microsoft 365, including Word, Excel, Outlook, and SharePoint.
  • Demonstrated ability to quickly learn and navigate additional systems such as databases and document management platforms.
  • Demonstrated experience working in culturally diverse environments, with a strong commitment to culturally appropriate and respectful service delivery.
  • Excellent verbal and written communication skills, with ability to tailor communication to suit a range of internal and external stakeholders.
  • Strong interpersonal skills, with a flexible and solutions focused approach to challenges and team collaboration.
  • Proven ability to manage multiple priorities, meet deadlines, and work both independently and as part of a team.
  • Adaptability to changing environments and relationships, with the ability to maintain productivity and focus during periods of transition or change.
  • Commitment to confidentiality, with an understanding of risk management principles and the importance of maintaining secure information practices.

Employment is Subject to the Provision of the Following:

  • National Police Clearance (no more than three months old)
  • NT Working with Children (OCHRE) Card
  • Current Driver's Licence

Highly Desirable:

  • Qualification in Business Administration or a related field.
  • Experience working in a not-for-profit organisation, particularly within the Social Services Sector.
  • Knowledge of, or experience working within, Employment Service Providers and/or the Workforce Australia framework, with a focus on supporting program delivery or ensuring compliance.
