Who we are looking for ?
We are seeking a highly organised and proactive team player with a strong customer service focus and a working knowledge of XERO. You will thrive in a busy, multi-client environment, supporting membership services, administration, and events. With your flexible "can-do" attitude, you'll be ready to step in wherever needed to ensure smooth operations and outstanding service delivery.
This is a permanent, part-time position (minimum four days per week), based in our Vermont Victoria office. An immediate start is available for the right candidate.
Key responsibilities include:
- Managing membership databases and responding to member enquiries promptly and professionally
- Providing administrative support across multiple client associations
- Supporting financial processes using XERO (invoicing, reconciliations, reporting)
- Assisting with conference and event coordination, including logistics and registrations
- Administering agendas, attending meetings, and taking accurate minutes
- Documenting and maintaining policies and procedures
- Ensuring professional communication via phone, email, and online platforms
- Delivering tasks efficiently with attention to detail and a with a sense of urgency
What you bring:
- A good working understanding of Xero
- Minimum 5 years of recent experience in a similar administration, membership, or accounts support role
- Strong proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint)
- Excellent written and verbal communication skills
- Previous experience in association management (desirable, but not essential)
- Strong organisational skills with the ability to manage multiple priorities
- A positive, adaptable attitude and a collaborative mindset
