About the Opportunity

The Facilities Administrator plays a key role in providing administrator support to the Facilities Maintenance team to support the maintenance of ASC's buildings, grounds, and infrastructure. This position is responsible for coordinating administrative tasks, assisting Facilities Maintenance Team with contractor inductions and relevant site clearances, maintaining file and records, and liaising with internal departments and external contractors where required.

Responsibilities

  • Administrative Support:

  • Maintain and update facilities folders and records.

  • Raise purchase requisitions
  • Process invoices
  • Prepare reports and documentation for audits, compliance, and management reviews.
  • Overseeing the shared outlook mailbox and ensure enquiries are actioned appropriately

  • Work Order Management:

  • Raising and allocation of Fault Reports as required

  • Monitor progress and ensure timely completion of work orders.
  • Communicate with staff regarding status updates and resolution timelines.

  • Contractor Coordination:

  • Assist Facilities Coordinators with inducting and onboarding contractors, in preparation of breakdown/scheduled repairs, inspections, or maintenance.

  • Ensure contractors comply with safety and security protocols to attend site including relevant clearances (NSSIC)
  • Track contract performance and assist with maintaining service agreements.
  • Manage site contractor of cleaning/canteen (Compass)

  • Communication & Liaison:

  • Act as the first point of contact for facilities-related inquiries.

  • Coordinate with internal departments to support events, relocations, and space planning.
  • Provide updates and feedback to the Maintenance Manager and other stakeholders.

About you

  • Proven experience in an administrative or facilities support role.
  • Strong organizational and time management skills.
  • Proficiency in Microsoft Office Suite and CMMS software.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.

Eligibility

This role requires a current National Police Clearance and an Australian Defence Security Clearance. Your eligibility for this role is dependent on you obtaining and maintaining such clearance.
