Expression of Interest
We are inviting expressions of interest from individuals who may be interested in joining our team as casual invigilators for upcoming projects across multiple states in Australia. While there are no current vacancies, we are building a pool of reliable and enthusiastic candidates for future opportunities.
Position Summary:
The Invigilator plays a key role in ensuring examinations run smoothly, securely, and in a supportive environment for all candidates (both online and paper-based). Working under the direction of the Chief or Lead Invigilator, the Invigilator supervises exam sessions, assists candidates with entry and procedures, and provides first-line support for simple technical or procedural issues. The role requires professionalism, attentiveness, and empathy to create a calm environment that allows candidates to perform at their best.
Duties & Responsibilities:
Before Exams
- Assist in setting up exam rooms or online platforms (seating, signage, computers, login checks).
- Ensure all necessary exam materials (papers, answer sheets, scrap paper, pencils, envelopes) are available, with spare quantities prepared.
- Support the distribution of test materials across multiple rooms/venues so each invigilator has what they need.
- Prepare and distribute materials for candidates with special provisions, following instructions provided by the Chief/Lead.
- Liaise with school or venue staff for basic logistics (e.g., recess times, room access), under the Chief/Lead's guidance.
- Greet candidates and help them feel welcomed and supported.
- Verify candidate identity as instructed.
- Clearly and calmly communicate exam procedures and instructions under direction of the Chief/Lead.
During Exams
- Be prepared to stand for the duration of the shift
- Monitor candidates consistently to ensure exam integrity, fairness and compliance with conditions.
- Remain alert to candidate needs, providing reassurance and practical support where appropriate.
- Record attendance and report any irregularities or incidents (e.g., technical issues, misconduct, illness).
- Escalate complex technical or procedural issues to the Lead or Chief Invigilator.
- Ensure no unauthorised communication or materials are used.
- Assist with registering and seating late arrivals, escalating to the Chief/Lead for decisions on exam access.
After Exams
- Collect, count, and secure exam materials (paper-based) or confirm online submissions.
- Assist in packaging and securely returning all exam materials (paper-based)
- Ensure all materials are accounted for across multiple rooms/venues.
- Assist with packing down the exam room and returning materials as required.
- Complete any incident or misconduct reports factually and promptly under direction of senior staff.
Required Criteria:
- Punctuality for all shifts.
- Adherence to professional dress code and high personal standards.
- Maintain confidentiality and integrity of all exam materials, candidate data, and customer information.
- Comfortable using computers, exam software, and troubleshooting basic technical issues.
- Able to support candidates with logging in, navigating online platforms, and resolving common errors.
- Aware of when to escalate issues to technical support or senior staff.
- Demonstrates reliability, punctuality, and adherence to protocols.
- Willingness to learn and develop skills.
- Supportive and Calm – Reassures candidates, reduces anxiety, and fosters a professional yet approachable environment.
- Solution-Oriented – Handles unexpected issues calmly, escalating when appropriate.
- Clear Communicator – Gives instructions confidently and courteously, adapting to diverse candidate needs.
- Observant and Attentive – Maintains focus to ensure fairness and compliance.
- Professional Integrity – Upholds strict confidentiality and exam security.
- Collaborative – Works effectively as part of a team, following the direction of Lead and Chief Invigilators.
Next Steps:
