What this opportunity involves:

This role will lead comprehensive transition management for retail assets entering and exiting JLL's Property Management business, ensuring seamless property onboarding and exceptional client service. Drive the end-to-end transition processes while supporting continuous improvement of JLL's retail property management platform, staff development, and process optimisation to maximise efficiency and client satisfaction.

A snapshot of the role:

Transition Management

  • Provide end-to end transition leadership for retail assets entering and exiting JLL's portfolio, establishing clear scope and success criteria for each transition project.

  • Develop comprehensive transition plans with detailed milestones and maintain master tracker systems for all active transitions.

  • Establish robust governance frameworks including RACI matrices, meeting cadence, and risk/issue/change control processes.

  • Ensure all transitions run smoothly and meet agreed Go Live dates with nominated transition teams.

  • Engage with incumbent property managers and administer RFI (Request for Information) packs.

  • Coordinate and manage data room access and information transfer processes.

  • Lead due diligence activities and oversee information integration into JLL systems (MRI, Prism Connect, Acumen, CAAPs)

  • Ensure accurate historical data take-on to enable comprehensive reporting capabilities.

  • Ensure all stakeholders understand their roles, responsibilities, and timelines during transitions.

  • Track completion of milestones by the transition teams across multiple functions including:

    • Finance: Banking setup, receipting processes, AP/PO/contract controls, opening balances, and settlement activities.

    • Lease Administration: Tenancy schedule development, rent roll creation, options/reviews management, securities handling, and insurance coordination.

    • Property Operations: Vendor setup, contract novations, site inductions, and operational handover requirements

    • Marketing: Marketing fund transitions and tenant communication protocols

  • Establish communication strategies to be used by the transition team for tenants, vendors, and property owners throughout transition.

  • Coordinate and deliver training programs for new team members and existing staff on transition processes.

Process Documentation and Improvement

  • Review relevant transition and operational processes and procedures to optimise property management practices.

Staff Development and Compliance

  • Implement processes to improve the retail team's understanding of JLL standard platforms, processes, and procedures

Platform Optimisation and Standards

  • Work with retail teams to maximise utilisation of JLL platforms and tools.

  • Monitor accurate setup of MRI property data and historical information for effective Acumen reporting.
