Our services include the professional cleaning and maintenance of kitchen exhaust systems, laundry exhausts, kitchen filters, and HVAC systems.

Position:

Full-Time Service Coordinator – NSW Exhaust Service Department

We are currently seeking a motivated and highly organised Service Coordinator to join our NSW exhaust service department. This full-time role is integral to the smooth operation of our service delivery and team coordination.

Key Responsibilities:

  • Coordinate and schedule routine and ad-hoc services by phone and email, ensuring timely and efficient delivery of services to clients across NSW and ACT.
  • Act as the primary point of contact for customer service enquiries, providing professional and timely assistance.
  • Manage daily scheduling and rostering of the NSW service technicians and their respective teams.
  • Conduct stocktakes of technician consumables, manage inventory levels, and ensure timely distribution of supplies.
  • Maintain clear and consistent communication with field technicians regarding upcoming and completed jobs.
  • Prepare and distribute SWMS (Safe Work Method Statements), and assist with job site inductions as required.
  • Coordinate and participate in monthly toolbox meetings with NSW team leaders and managers, addressing safety, process updates, and team feedback.

Additional Responsibilities May Include:

  • Monitor job completion reports and follow up on outstanding or incomplete services.
  • Assist in generating reports for compliance, safety, and performance metrics.
  • Maintain service records and documentation within company systems (e.g., CRM or scheduling software).
  • Support the operations manager with administrative tasks and operational planning.
  • Liaise with clients to gather feedback and improve service quality and efficiency.
  • Contribute to the continuous improvement of internal processes and procedures.

Skills & Experience:

  • Previous experience in a scheduling, coordination, or operations support role (ideally in field services or facilities management).
  • Strong organisational and multitasking abilities.
  • Excellent communication skills—both written and verbal.
  • Proficiency in Microsoft Office and scheduling/CRM software.
  • A proactive and problem-solving mindset with a strong customer service orientation.
