Practice Manager/ Director Operations

We are seeking an experienced Practice Manager to oversee the operational, compliance, and client management functions of our professional accounting practice. The ideal candidate will be a CA or CPA qualified professional with strong leadership capability and hands-on experience managing end-to-end practice operations.
This role involves supervising staff, engaging with clients, ensuring high-quality service delivery, maintaining regulatory compliance, improving internal workflows, and supporting firm growth initiatives. The Practice Manager will work closely with the Partners to drive efficiency, professionalism, and client satisfaction across the firm.
Key Responsibilities
Practice Operations & Administration
- Plan, manage and monitor day-to-day operations of the practice.
- Oversee job allocation, work progress tracking, and timely completion of deliverables.
- Develop and implement internal policies, SOPs and workflow improvements.
- Maintain practice systems including Xero, XPM, MYOB/QuickBooks and CRM tools.
Client Relationship Management
- Act as a key point of contact for clients to resolve queries and support ongoing engagement.
- Schedule client meetings and ensure timely communication of deliverables.
- Manage client onboarding, engagement letters, billing cycles, and follow-ups.
Team Leadership & Development
- Lead, mentor and supervise accounting, taxation, bookkeeping and administrative staff.
- Conduct performance reviews and support ongoing professional development of team members.
- Coordinate allocation of tasks between onshore and offshore teams (if applicable).
Compliance & Quality Control
- Ensure compliance with ATO, ASIC, TPB, CA/CPA and other regulatory standards.
- Review workpapers and taxation deliverables for accuracy and completeness.
- Ensure confidentiality, ethical standards, and high service quality are consistently upheld.
Financial & Practice Performance
- Support budgeting, WIP monitoring, debtors collection and cost management.
- Prepare periodic performance, billing and profitability reports for partners.
- Assist in business development initiatives and practice growth planning.
Skills & Experience Required
- CA or CPA qualification is mandatory.
- 8–10 years experience in public practice, including at least 3+ years in a supervisory/management capacity.
- Strong understanding of Australian taxation, accounting standards and compliance procedures.
- Excellent leadership, communication and team management skills.
- Demonstrated ability to manage workflows, deadlines and client relationships effectively.
- Proficiency with Xero / XPM, tax & practice management systems, and MS Office suite.
- Problem-solving mindset with ability to work independently and collaboratively.
