About The Opportunity
We have a very exciting opportunity for a Project Support Officer to join our Maritime team. In this role, you will be crucial to the DDG (Destroyer) program's success. Supporting the vital project and administrative management, acting as the central coordinator for NSSIC applications, inductions, training, PPE, and site access. By ensuring the engineering and project teams have the essential tools, processes, and guidance, directly enable projects to be delivered on time, on budget, and to the highest standards.
This role can be based out of our Mawson Lakes or Osborne Shipyard offices in SA.
We embrace flexible work arrangements at BAE Systems Australia such as a 9-day fortnight and hybrid working.
Key responsibilities include:
- Proactively prepare for all project meetings by collating and compiling necessary documentation and reports. This involves gathering input, creating clear agendas, and ensuring all materials are distributed well in advance
- Schedule, coordinate, and facilitates project meetings including preparing agendas, taking accurate meeting minutes, and tracks action items to ensure timely completion
- Compiling and distributing regular status reports, dashboards, and briefings for the Project Management & Engineering stakeholders, gathering critical data on project progress, budget (EVM), and risks and opportunities (R&O)
- Support the monthly "drumbeat" cycle by assisting with project schedule updates, R&O reviews, and Estimates at Completion (EAC) updates
- Utilise effective communication and negotiation skills to engage and influence both internal CSI-IPT members and external stakeholders, ensuring alignment and clear messaging
- Managing the Osborne Shipyard access process for all team members, subcontractors, and customers. This will include arranging passes, clearances, inductions, and securing access to key buildings and on-ship locations
- Provide general project management assistance and advice to control account managers and other discipline line managers
- Act as a point of contact for all shipyard-based staff, managing logistical needs such as office space and desk allocation. This will also include asset tracking and providing general administrative support
- Act as a key liaison for all security and safety matters such as coordinating with security personnel and ensuring all team members and visitors have the correct Personal Protective Equipment (PPE) and have completed all mandatory training, such as the White Card and working at heights
About YOU
- Previous experience in a project-based environment, providing administrative and logistical support to a project team including coordinating, facilitating, and documenting meetings, including the preparation of agendas, minute-taking, and action item tracking
- Ability to work effectively with a diverse group of stakeholders, including internal teams and external contractors or customers. Experience in a complex, multi-party environment is desirable
- Experience in gathering, compiling, and presenting project data for status reports, dashboards, and briefings. Familiarity with project control metrics such as Earned Value Management (EVM) and Risk & Opportunity (R&O) registers is highly desirable
- Strong written and verbal communication skills, with a track record of producing clear and concise documentation and reports
- Competency with standard project management and administrative software suites, including Microsoft Office (Word, Excel, PowerPoint), SharePoint, Confluence, Jira, and/or Visio. (Desirable)
- Eligibility for a Negative Vetting Level 1 Defence security clearance
- International Traffic in Arms Regulations (ITAR) are applicable and as such, your nationality may be a factor in determining your suitability for this role
