About the Role:
We are seeking a highly organised and customer-focused Administration Officer to join our Specialist Consulting team. This role is vital in creating a welcoming and professional first impression for patients and visitors, while providing comprehensive administrative support across our Clayton, Moorabbin, and Monash Children's Hospital sites.
Key Responsibilities

Manage high volumes of inbound and outbound calls with professionalism and empathy
-
Provide courteous reception services for face-to-face enquiries
-
Create and manage patient appointments, including transport and interpreter bookings
-
Prepare electronic patient files, billing, and reconcile payments
-
Maintain accurate patient records and databases
-
Ensure outpatient activity data meets VINAH and regulatory standards
-
Support referring physicians with timely reports and appointment information
-
Perform general office duties including mail distribution and document handling
-
Maintain a clean and professional reception and consultation environment
-
Adhere to Monash Health policies and procedures
Your Skills & Experience:
-
Proven experience in customer service and administration
-
Strong verbal communication and active listening skills
-
Ability to multi-task, prioritise and manage time effectively
-
High attention to detail and accuracy in data entry
-
Proficiency in Microsoft Office and willingness to learn new systems (e.g. iPM)
-
Professional presentation and commitment to confidentiality
-
Ability to remain calm under pressure and manage competing priorities
-
Previous experience in a healthcare or high-volume call environment is highly desirable
-
