Our opportunity
As a Reception & Administration Assistant, you will be the face of our newest Build to Rent asset LIV Anura based in Newstead. This role will be the go-to person for the on-site team and act as the first point of contact for our residents.
Your responsibilities will include:
Management of front of house including maintaining a clean and organized reception area, ensuring communal spaces are well presented and well stocked and parcel room is tidy and organisedAnswering the main line and directing inquiries, taking messages, or responding to customers where appropriateMeeting and greeting visitors, alerting leasing team to tour arrivals, accepting package deliveriesManaging front desk enquiries including logging new cases or complaints and allocation to appropriate team members for resolutionAssisting with coordination and management of events and collation of customer feedbackAssisting with raising quotes, purchase orders & invoices, preparing renewal letters, termination notices and variation lettersAssisting with data entry, document preparation, and file management.Database management including capturing of front line customer insights and entering and updating customer dataMonitoring various communication channels including google, website, socials, email and the app, triaging and allocating complaints and queriesResponding to comments and feedback on building channels and composing and sending broader building communicationsUploading digital content to various channels including Domain and REA listingsPreparing move in and welcome packs, coding keys and logging additional charges with finance team and updating systems to reflect customer move ins / move outsMonitoring cases & complaints in system to ensure all customer queries are dealt with promptlyYour point of difference
1-3 years of administration experienceWill have real estate experience or similar highly transferable skill set from another reception or administration roleAbility to manage multiple and competing tasks and enquiries efficientlyWill have great attention to detailIs ethical, disciplined and believes in self-developmentIs resilient and can multi-task with easeValues workplace relationships and the opportunity to mentor and be mentoredExcellent phone mannerExceptional time management and organisational skillsGood Microsoft Office applications skillsWillingness to learn new systems and processesStrong written and verbal communication skillsStrong attention to detailDiscretion, diplomacy and the ability to maintain confidentialityAll of these attributes are preferred, if you think you may be the right fit for the role please still apply.
