Job Description

In-House Bookkeeper (part-time 4 Days/week or full time)

Reports to: General Manager / Managing Director

Works closely with: Rostering Coordinator, Client Services Manager, HR / Operations

Location: Office-based (Kwinana) with some flexibility

We're looking for a reliable, friendly, and detail-focused Bookkeeper to manage our day-to-day financial operations and support our internal team.

About the Role

This role ensures smooth financial processes across the organisation. You will manage accounts, payroll, reconciliations, invoicing, and financial reporting, while working closely with our Rostering Coordinator and Client Services Manager to ensure accurate financial data aligned with service delivery.

You are the person who keeps the numbers accurate, timely, and clear helping the business operate confidently and sustainably.

Key Responsibilities

Payroll & Rostering Coordination


•     Process fortnightly payroll accurately and on time.


•     Work closely with the Rostering Coordinator to ensure timesheets are accurate and approved.


•     Ensure allowances, sleepover rates, overtime, and penalties are applied correctly.

Accounts & Financial Management


•     Maintain up-to-date financial records using Xero.


•     Manage accounts payable and receivable, including supplier payments.


•     Generate and send client invoices (participants, agencies, and partner organisations).


•     Reconcile bank accounts, expense cards, petty cash, payroll accounts , and funding statements regularly.


•     Maintain clear digital audit trails for all financial transactions.

Reporting & Support


•     Prepare monthly and quarterly financial reports that are easy to understand.


•     Support budgeting processes and track spending against cost centres.


•     Assist with budgeting, forecasting, and tracking program expenses.


•     Work collaboratively with leadership on financial information required for audits and compliance.


•     Maintain confidentiality and privacy across all financial data.


•     Ensure compliance with NDIS requirements.

What We're Looking For


•     Experience as a Bookkeeper, Accounts Officer, or Finance Administrator within a community service setting (NDIS or similar).


•     Strong understanding of Xero and intermediate to strong Excel skills.


•     Experience managing payroll, ideally within SCHADS or similar award frameworks.


•     Ability to work accurately, meet deadlines, and proactively flag discrepancies.


•     Strong communication skills and a supportive, solution-focused approach.


•     Well-organised, reliable, and comfortable working both independently and collaboratively.


•     A Certificate IV / Diploma in Accounting, Bookkeeping, or similar (preferred but not required).


•    Drivers license and own vehicle.
