The Role
We are seeking a Casual Medical Receptionist to join our administrative team. This role requires a detail-oriented, organised, and professional individual with prior experience in a healthcare reception environment.
You will be the first point of contact for our patients, setting the tone for the quality and warmth that define our clinic.
Hours: 10–20 hours per week (mix of weekdays, with flexibility to cover occasional evenings or Saturdays).
Start: Immediate start available.
You will be supported through a structured onboarding process, including a comprehensive Standard Operating Procedure (SOP) Handbook to guide your training and help you master clinic processes efficiently and confidently.
Key Responsibilities
- Provide a warm, professional welcome to patients and visitors.
- Manage phone, email, and in-person enquiries with accuracy and courtesy.
- Coordinate appointments, waitlists, and follow-ups to ensure optimal patient flow.
- Process HICAPS/Medicare claims, payments, and end-of-day reconciliations.
- Maintain accurate and confidential patient records.
- Keep reception and waiting areas organised and presentable at all times.
- Collaborate closely with physiotherapists and admin staff to support clinic operations.
- Contribute to continuous improvement by identifying opportunities to refine systems and enhance efficiency.
Required Qualifications & Experience
- Minimum 6 months' experience as a medical or allied health receptionist (physio, chiro, GP, dental, or specialist).
- Strong working knowledge of practice management software (Cliniko, Nookal, or Halaxy preferred).
- Experience with HICAPS and Medicare billing and end-of-day reconciliation.
- Excellent verbal and written communication skills.
- High attention to detail, organisation, and time management.
- Professional presentation and a calm, composed approach under pressure.
- Legal right to work in Australia and willingness to complete a Police Check if required.
Desirable Attributes
- Experience managing multiple clinicians' schedules.
- Familiarity with physiotherapy or allied health clinic environments.
