Receptionist/Administration Assistant – Part-Time

Job Type: Part Time (11–18 hours per week, with the potential to increase)

We are looking for a warm, capable and proactive individual to join our friendly and growing team in a Receptionist/Administration Assistant role. This is a fantastic opportunity to be part of a well established and supportive allied health clinic that genuinely values teamwork, professionalism and patient care.
The ideal candidate will be confident in both front-facing reception duties and behind-the-scenes administration — someone who enjoys helping others, staying organised and being a calm, reliable presence within the team.
About the Role
This is a newly created, part-time hybrid position designed to support the day-to-day running of the clinic. You will be working alongside a team of six other receptionists and closely with our Practice Manager to ensure a smooth and positive experience for both patients and practitioners.
Key Responsibilities:
- Welcoming and assisting patients in a professional and friendly manner
- Managing phone calls, online bookings, emails and general enquiries
- Supporting patient flow and day-to-day clinic operations
- Answering and directing incoming calls with excellent customer service
- Processing private health insurance claims using HICAPS
- Daily payment summary reconciliations
- Maintaining the clinic's presentation and cleanliness
- General additional tasks as required
Higher Level Duties:
- Assisting with marketing tasks
- Help manage internal communications and systems
- Be involved in monthly reporting and statistics
- Provide support on project-based tasks as required
- Monitor stock levels and coordinate supply orders
- Provide support with onboarding and training of new team members
- Contribute to improving clinic systems and procedures
- Play a key role in assisting management across a range of operational tasks as required
About You
We are looking for someone who brings a positive attitude and a team-first mindset. Experience in a health setting is a bonus but certainly not essential — full training will be provided.
You will ideally have:
- Previous experience in reception or administration (healthcare or medical preferred)
- Strong organisational skills and attention to detail
- Clear, kind and professional communication
- A calm, solutions-focused approach in busy or changing environments
- Confidence using practice management software (Cliniko experience a bonus)
- Ability to work independently and within a team
- A flexible can-do attitude and willingness to learn
- A genuine alignment with our clinic values of respect, kindness and care
Availability:
- 11–18 hours per week, with potential for additional hours
- Flexibility to work a mix of opening and closing shifts preferred
- Availability to assist with Saturday shifts and occasional leave cover preferred
