Senior Admin Receptionist

This is a full-time role, requiring availability across 5–7 days per week, with some flexibility, especially on weekends. The role involves working independently at times and also overseeing other reception staff as needed. On most days, there will be another receptionist to assist you with reception, freeing time to work on the admin matters assigned.
Key Responsibilities:
- Manage and oversee daily reception desk operations.
- Welcome and assist patients in a professional and compassionate manner.
- Coordinate appointment scheduling, patient flow, and clinical sessions.
- Supervise junior or part-time reception staff when rostered together.
- Handle phone and email enquiries, appointment bookings, and follow-ups.
- Process Medicare, DVA, and private billing, including EFTPOS and online claims.
- Ensure accurate patient data entry and records management.
- Liaise with GPs, nurses, and allied health professionals to support smooth clinic function.
- Order and maintain office and medical supplies.
- Contribute to administrative tasks including reminders, document handling (e.g., referrals, correspondence), reconciliation, and other management matters.
- Assist in implementing and maintaining practice policies and procedures.
- Handle sensitive situations with discretion and maintain patient confidentiality.
- Handle practice dispute resolution and other HR matters as the supervising officer.
- Look after practice interest and patient wellbeing.
- Minimum 2 years' experience in a medical receptionist or similar role (GP clinic preferred).
- Excellent organisational, multitasking, and problem-solving skills.
- Strong leadership and communication skills.
- Ability to work independently and take initiative.
- High capacity to function in a team environment.
- Familiarity with Medicare, bulk billing, and private billing procedures.
- Proficiency in clinical software (Best Practice preferred).
- Working knowledge of privacy and confidentiality standards in healthcare.
- Professional presentation and a customer service mindset.
- Full work rights in Australia.
Desirable:
- Prior experience in a senior or supervisory receptionist role.
- Current First Aid or CPR certificate.
- Drivers License.
