The Company

We are a Practice and Reconstructive surgery practice located at Hornsby (and other clinic locations at Greenwich and Mona Vale) specialising in cosmetic surgical and non-surgical procedures. Our practice has one Plastic Surgeon, Practice Manager and two medical secretaries (on any given day). We use Genie medical software.

Your New Role

Your role is to work within our admin team at Hornsby only ensuring that each day runs efficiently and smoothly for the doctor through your time-management and organisational skills, productivity and meticulous attention to detail. You will also provide an admirable level of customer service skills and care to patients on the phone and face-to-face.

There is flexibility to work either 2 or 3 days per week. If you are seeking 2 days per week, the days would be Wednesday and Thursday and for 3 days per week, the additional day would be Monday. The hours are pm, however happy to negotiate if the right candidate would like to start at 9am.

There is parking onsite and we are also only a few minutes' walk from Hornsby station.

The duties and responsibilities are:-

  • Provide an outstanding level of customer service on the telephone and in meeting and greeting patients
  • · Efficient coordination of all patient data, appointments, procedures, clinical files, correspondence
  • · Schedule and effective management of patient bookings in Genie software
  • · Processing of patient invoicing and receipting of consultations
  • · Formatted and emailing letters (dictated via voice recognition software)
  • · Coordination of theatre lists and surgical procedures
  • · Liaise with and maintain excellent working relationships with other medical disciplines and the hospitals
  • · Provide administrative support to the Practice Manager

Your Skills & Knowledge

The ideal candidate will have the following attributes:-

  • Minimum of 3+ years' experience as a Medical Receptionist/Secretary, with either specialist surgical (plastic surgery experience highly regarded) or general medical experience being acceptable
  • Previous experience using Genie software is preferred, however not essential
  • You are passionate about providing an exceptional level of customer service

  • You are meticulous by nature and always ensure everything is completed to the highest standards

  • Compassionate, empathetic and warm disposition
  • You are a natural born organiser that can multitask and manage time efficiently
  • Able to work well independently, but also as part of a team
  • Ability to connect and interact with people of all ages, background and personalities
  • Flexibility to be able to work additional days to cover staff annual/sick leave
