The Opportunity

We're looking for an experienced and motivated Vehicle Stock Control & Registrations Coordinator to join our growing team.

In this newly created role, you'll play a key part in supporting our Sales and Administration departments, taking ownership of stock control and vehicle registration processes across our multi-franchise dealerships, whilst providing support and mentorship to the wider team.

Key Responsibilities

Your day-to-day responsibilities will include:

  • Manage vehicle stock for assigned manufacturers and coordinating deliveries in line with customer and dealership timelines.
  • Coordinate repair orders for accessories and vehicle prep to support smooth delivery workflows.
  • Manage freight bookings and liaise with internal departments and external dealers.
  • Maintain up-to-date digital and physical inventory records, including deliveries, transfers, and disposals.
  • Identify and resolve stock discrepancies in collaboration with the Sales Management team.
  • Prepare stock reports and provide data insights to support decision-making.
  • Ensure clear communication across all teams involved in sales, delivery, and registration.
  • Drive efficient month-end and year-end processes to meet strict timelines and Manufacturer expectations.
  • Provide leadership, mentorship, and guidance to team members, fostering a collaborative and high-performance team culture.
  • Assist with compliance, manufacturer requirements, and internal reporting.
  • Support continuous improvement of stock control processes and contribute to ensuring compliance and manufacturer standards
  • Remain abreast of Manufacturer bulletins, recalls and notifications and communicate accordingly

What We're Looking For

To succeed in this role, you will ideally bring:

  • Proven experience as a Vehicle Stock Controller in a dealership environment, with sound knowledge of the QLD vehicle registration process
  • Strong leadership qualities with the ability to mentor and motivate team members
  • High-level organisational and problem-solving skills
  • Exceptional attention to detail, with a focus on accuracy and process efficiency
  • Clear and confident communication skills, with the ability to collaborate across departments
  • The ability to manage multiple priorities under pressure and to strict timelines
  • A proactive, solutions-focused mindset with a commitment to continuous improvement and team success
