Are you passionate about creating a warm, professional, and efficient office environment? Do you thrive in a role where every day brings new opportunities to support colleagues and visitors? HESTA is looking for a dedicated NSW Office Coordinator to join our Facilities & Operations team
As our NSW Office Coordinator, first and foremost, you'll be the friendly face that welcomes visitors and ensures the smooth running of our NSW office. You'll play a key part in delivering exceptional customer service, maintaining procedures, and upholding HESTA's values in every interaction.
Your day will see you:
- Be the first point of contact, ensuring visitors and members feel valued and supported
- Ensure the workplace is an organised and professional office environment
- Assist with onboarding/offboarding and provide seamless support for all office needs
- Support walk-in members with forms, ID certification, appointment bookings and insurance paperwork
- Manage daily office operations, supplies and security procedures
- Liaise professionally with internal and external stakeholders
- Draft and distribute correspondence and documentation
- Reconcile expenses and support office budget management
- Help coordinate wellbeing initiatives like flu shots, skin checks, and fundraising events
About you:
- Experience in front-of-house administration or reception roles
- Strong background in office administration and client liaison
- Proactive, professional, and organised approach
- Excellent communication and interpersonal skills
- Proficiency with Microsoft Office, switchboard/phone systems and database management (SharePoint)
- Skills in event/project management and expense reporting
- First Aid certification is preferred
