
Purchasing Assistant

The Purchasing Assistant plays a key support role within the Procurement team, acting as a conduit between Purchasing, Production, and Warehouse operations. This junior-level position is responsible for booking in deliveries in Odoo, maintaining accurate purchasing records, and assisting with product and supplier data. The role also supports the return-to-supplier (RTS) process and contributes to the overall efficiency of procurement workflows. A proactive mindset and strong attention to detail are essential, particularly in a fast-paced, dynamic manufacturing environment.
Key Responsibilities
- Book in goods received and update purchase orders in Odoo
- Liaise with the Warehouse team to process delivery paperwork and ensure records are accurately maintained
- Support the return-to-supplier process, including documentation and system updates
- Assist the Production team by ensuring part availability information is current and accurate
- Manage and maintain backorder data, providing timely updates to relevant stakeholders across departments
- Set up and maintain supplier and product records in Odoo, ensuring data accuracy and consistency
- Perform data clean-up and ongoing maintenance across products, suppliers, and contacts in Odoo
- Follow up with suppliers for delivery confirmations or minor issue resolution
- Contribute to procurement team admin tasks such as filing, internal communication, and reporting
- Maintain accuracy and consistency of procurement-related information in the ERP system
Reporting & Team Structure
This role reports directly to the Purchasing Manager and provides support to both the Purchasing Manager and Purchasing Officer. The role works closely with the Warehouse and Production teams and is integral to cross-functional coordination.
Systems & Tools
- Odoo ERP: Core platform used for procurement, product, and supplier data management. Experience in Odoo is not required, but familiarity with similar ERP systems (SAP, Pronto, NetSuite, etc.) is desirable.
- Microsoft Excel: Intermediate skills essential (e.g. sorting/filtering, VLOOKUP/XLOOKUP, data analysis).
- Microsoft Outlook: Daily communication tool used internally and with suppliers.

- Strong attention to detail and data accuracy
- Comfortable working across departments in a fast-paced, dynamic environment
- Willingness to learn ERP systems and develop procurement knowledge
- Effective communication and time management skills
Desirable:
- Prior experience in a purchasing, logistics, or inventory support role
- Familiarity with ERP systems (Odoo or equivalent)
- Exposure to manufacturing, automotive, or caravan sectors
- A proactive mindset and enthusiasm for continuous improvement
