Receptionist / Admin Assistant – Building & Marketing Background Required
Location: Singleton | Immediate Start | Join a Growing Local Family Business
Are you an enthusiastic all-rounder with a background in building/construction and marketing? We're looking for a proactive Receptionist / Admin Assistant to join our small but fast-growing family building company based in Singleton.
About the Role:
This is a dynamic position that will see you wearing many hats – perfect for someone who thrives on variety and takes pride in being organized, efficient, and client-focused.
Key Responsibilities:
- Call Handling: Answer and screen all incoming calls; attempt to assist callers directly to reduce unnecessary calls for Jo.
- Welcome Packs: Prepare and issue welcome packs to new clients.
- Addenda Management: Complete addenda forms and issue to clients via DocuSign.
- HIA Contracts: Pre-fill HIA contracts and issue to clients prior to building permit applications.
- Site Orders: Action site orders (e.g., sand orders) – identify local suppliers and place orders promptly.
- Trade RFQs: Keep all Requests for Quote (RFQs) up to date; follow up with trades that haven't returned pricing.
- Client Updates: Provide routine updates to clients and handle site questions; liaise with construction when answers or decisions are required.
- Social Media: Create and schedule posts for company social media channels; respond to basic messages or direct enquiries to the correct person.
- Plan Renderings: Organize and coordinate plan renderings for client presentations and marketing, ensuring correct specifications are sent to drafters/renderers.
MUST HAVE:
- Previous experience in the building/construction industry
- Minimum of 6-12 months of experience in the building/construction industry
- Knowledge and experience in marketing/social media
- Professional experience in marketing and social media management
- Exceptional communication and multitasking skills
- Strong attention to detail and ability to meet deadlines
- A team player with a positive, can-do attitude
- Must have Australian work rights
