The Office of the Hon Mark Butler MP, Minister for Health and Ageing, Minister for Disability and the NDIS, is seeking applications for an ongoing, full-time Office Manager/Executive Assistant to the Chief of Staff (Office Manager/EA to the CoS) to join the team based at Australian Parliament House in Canberra, ACT.

Position overview

Ministerial staff form an integral part of Government, providing indispensable political, policy and administrative support to Ministers as they carry out their executive responsibilities. They work in conjunction with the apolitical Australian Public Service to deliver the Government's agenda.

This position will provide quality administrative and logistical support to the Minister and his Office, and Executive Assistant support to the Minister's Chief of Staff.

The key duties of the position include but are not limited to:

  1. Provide administrative support on priority, complex and sensitive public administration, program and logistical issues.
  2. Provide Executive Assistant support, including diary management and travel, to the Chief of Staff.
  3. Maintain effective relationships with the Prime Minister's Office, junior Ministerial Offices in the portfolio, other Ministerial Offices, Electorate staff and the Department of Health, Disability and Ageing on office, diary and other administrative matters.
  4. Plan and execute office logistics, diary routines and programs during sitting and non-sitting weeks.
  5. Work closely with the Program Manager (and Minister's Executive Assistant) to support the Minister.
  6. Ensure that the resources of the portfolio Department are utilised to provide effective functioning of the Minister's office.
  7. Provide direct administrative and logistical support as required.
  8. As directed, prepare and analyse reports relating to entitlements and probity requirements.
  9. Provide input into forward planning as required.
  10. Regular interstate and Canberra travel may be required for this role.

The ideal applicant should possess the following skills, qualification and experience:

  • Demonstrated experience as an Executive Assistant or executive support officer in a demanding public, non-profit or private sector environment.
  • Ability to work effectively and liaise with other Ministerial Offices, the Australian Public Service and the community.
  • Excellent communication skills and the ability to communicate to a variety of audiences.
  • Demonstrated experience in working in a dynamic environment as part of a team.
  • Developed knowledge of diary, travel and administrative systems.
  • Working knowledge of the political process and the Australian parliamentary and political system.
  • Demonstrated professional integrity and the ability to exercise discretion and maintain confidentiality.
  • Demonstrated capacity for applying analytical and problem-solving skills in developing solutions for complex issues.
  • Proven reliability in meeting deadlines and commitments especially in high pressure situations.

Employment conditions:

The position is offered under the Members of Parliament (Staff) Act 1984 and conditions are outlined in the Commonwealth Members of Parliament Staff Enterprise Agreement which include:

  • A commencing salary between $74,535 and $92,029 will be negotiated depending on experience and relevant skills.
  • An additional Personal Staff Allowance of $28,763 is payable in recognition of, and as compensation for, reasonable additional hours of work.
  • Relocation assistance, studies assistance and paid study leave may also be available (subject to eligibility requirements).
  • An employer superannuation contribution of 15.4% will be payable.

  • For staff employed by a Minister, Assistant Minister or Parliamentary Secretary either in a personal or electorate staff position, it is a condition of your employment that you obtain and maintain a Negative Vetting 2 security clearance and comply with the Ministerial Staff Code of Conduct.
  • An initial probationary period of three months may apply and may be subject to extension.
  • The successful applicant may be required to undergo a National Police History Check.
  • Staff may be subject to automatic cessation triggers in accordance with Section 14 of the MOP(S) Act.
  • The successful applicant will be required to comply with their obligations under the Behaviour Codes and Standards.
