Overview
The Admin & Automation Assistant plays a critical support role within the Technology Services team, helping to deliver timely reporting, streamline processes through automation, and provide administration support across key infrastructure, security, and helpdesk functions. This role is ideal for someone with strong analytical skills, a problem-solving mindset, and a passion for simplifying complex processes through automation.
Key Responsibilities
- Reporting & Data Automation
- Produce clear, concise, and insightful reports for an Executive audience, including Exec Incident Reporting, Patch Reporting, IT Ops reporting, and IT Project reporting.
- Design and develop new reports as required.
- Automate the production of recurring reports where possible.
- Present data in dashboards and visualisations that highlight insights quickly for decision makers.
- Administration of Project Boards
- Manage Infrastructure and Security project boards (SHR, CNSSEC, INC, RISK).
- Ensure tickets are updated and progressed in a timely manner, escalating any items not moving forward.
- Support sprint management by ensuring sprints are opened and closed, and backlogs are groomed for upcoming work.
- Automate ticket reminders and progress reporting to improve efficiency.
- Helpdesk & Automation Support
- Support helpdesk staff by automating key processes (e.g., Post Incident Review action tracking, onboarding/offboarding integration).
- Provide documentation for users including knowledge articles, helpdesk troubleshooting guides, and security policy documents.
- Support the Security Officer and Training Development Manager by helping track Security Awareness Training and implement training plans for poor-performing users.
- Infrastructure & Monitoring Support
- Provide administrative support to infrastructure management and security initiatives.
- Assist with automation projects, monitoring systems, and dashboards.

Desired Skills & Experience
- Experience writing reports or developing presentations for senior audiences.
- Strong communication skills, with the ability to explain technical concepts to non-technical users.
- Proficient in spreadsheets (Google Sheets/Excel) with strong data analysis skills.
- Experience with data visualisation tools such as Tableau, Looker, or equivalent.
- Ability to produce dashboards and presentations that clearly communicate insights.
- Understanding of device and desktop application patching.
- Experience with AI modelling tools and/or workflow automation.
- Strong problem-solving skills and ability to work under time pressure.
- Experience in customer service (paid or voluntary).
- Exposure to coding or scripting languages.
- Basic understanding of security risks for devices, users, and applications.
- Strong organisational and time management skills.
- Experience using Jira for ticket management
