Reporting to the ICT Lead, the Digital Systems Coordinator is responsible for the administration, optimisation, and support of digital systems and tools across the organisation. This role ensures that key platforms (e.g., project management systems, HRIS, finance software, collaboration tools) are effectively maintained and supported to enhance operational efficiency, user experience, and data integrity.

WHAT YOU DO
SharePoint Site Creation and Management
- Design, build, and maintain functional and visually appealing SharePoint sites.
- Ensure appropriate permissions and structure are applied based on departmental or project needs.
- Support staff in uploading, sharing, and managing digital content effectively.
User Access Auditing and Control
- Regularly audit user access across systems and applications to ensure compliance with internal policies.
- Manage access requests by granting, revoking, or modifying permissions in a timely manner.
- Maintain accurate records of access changes and approvals for audit trails.
Documentation and Training
- Draft clear and comprehensive training documents, user guides, and standard operating procedures (SOPs) for internal systems and processes.
- Collaborate with other departments to understand training needs and tailor content accordingly.
- Assist in delivering basic end-user training or onboarding sessions.
User Profile Maintenance
- Monitor and update user profiles to ensure accuracy and consistency across directories and applications.
- Collaborate with HR and other departments to reflect changes in user status or roles.
- Identify and rectify inconsistencies or outdated information.
Quarantine and Security Monitoring
- Monitor email and system quarantine alerts to identify potential security threats.
- Action or escalate flagged items appropriately based on organizational security protocols.
- Contribute to maintaining a safe digital environment for all users.
Licensing and Application Requests
- Coordinate and follow up on approvals for new software licenses and application installations.
- Maintain a log of licensing requests and their statuses.
- Liaise with vendors or internal stakeholders to ensure timely provisioning and compliance.
WHO YOU ARE
Candidates should possess:
- Minimum 2 years experience in a Digital Systems Coordinator/Administrator role or strong Administration/Coordination experience with a keen interest in Digital Systems.
- Proficiency with Microsoft 365 & SharePoint.
- Experience with MS Teams is preferred.
- Understanding of ICT access management and basic security practices.
- Possess excellent written communication, with the ability to produce user-friendly documentation.
- Excellent analytical and problem-solving skills with strong attention to detail.
- A high degree of professionalism, continuously building relationships with internal and external stakeholders.
- Demonstrated ability to manage multiple projects while adhering to timeframes.
