About the Role

Join our centralised Freight Forwarding team and play a vital role in ensuring our Import Sea Freight operations are executed efficiently and profitably. We are looking for an experienced individual to manage and process import documentation and shipments, ensuring timely reporting and distribution to meet client needs.

Key Responsibilities and Activities

As an Import Sea Freight Operations Officer, you will be cross-trained across all positions within the team to cover all processing, reporting, billing, and communication protocols, often in conjunction with our BPO team. Responsibilities will include:

  • Receiving and processing import documents, shipments, and consolidations (consols).
  • Ensuring all import sea freight shipments are invoiced, cleared, and distributed prior to arrival/availability.
  • Monitoring and ensuring Data integrity on all shipments.
  • Managing LCL & FCL Delivery Orders (checking, releasing, chasing shipping lines 48 hours prior to ETA).
  • Handling pre-alerts, arrival notices, and managing Original Bills Required (OBR) shipments.
  • Completing external broker billings (3 days ahead of ETA).
  • Ensuring all shipments are invoiced within company KPIs.
  • Processing Cost & Accruals (2 days ahead of ETA).
  • Handling creditor invoice processing and managing invoicing disputes.
  • Monitoring and updating Daily Milestones (IRIS), WIP/ACR file management, routing schedules, and ETAs.
  • Managing GRP (Groupage) cargo, including updating spreadsheets, organising wharf collections, notifying the Sydney Warehouse, and monitoring clearance/status.
  • Lodging Underbond on both container and House BL level.

Qualifications & Experience

  • Minimum 2 years industry experience in freight forwarding.
  • Working knowledge of Australian Cargo reporting requirements.
  • Overall knowledge of industry functions and basic accounting functions.
  • EDI experience is desired.

Skills Required

  • Strong Time management skills.
  • Ability to multi-task and prioritise.
  • Proficiency in Word, Excel, and Outlook.

This role is responsible for meeting the department's objective of ensuring operations are carried out in line with company policy, mission, vision, and values.
