To assist the Parts team with the daily operations of the Parts Department, to ensure effective and efficient sales, promotion, and distribution of the company's products.

To ensure prompt and efficient service to all customers, including back counter workshop sales

To maintain an efficient parts warehouse with team support and ensure parts are received, accounted for, and placed in correct location.

To have a sound knowledge of Dealer Management System and all its functions.

  • Keep fully abreast of changes in products, technology, and manufacturers expectations.
  • Receive incoming parts and dispatch as required.
  • Interpret customer and dealer requirements.
  • Responsible for ensuring Parts Department is open and ready for business by designated time, and to ensure department is closed and secured following designated closing time.
  • Entering orders as received via phone or email.
  • Sell and pick orders as required for over-the-counter sales to customers.
  • To have a comprehensive knowledge of the location of all parts and accessories in the parts warehouse.
  • Receive goods and ensure they have arrived in sound condition and in correct quantities.
  • Store goods in an approved manner to minimize the possibility of damage, loss or deterioration.
  • To have an intimate knowledge of the varied stock within the department and to be able to interpret all parts manuals.
  • Assist in allocation of workshop parts as required and to complete all necessary documentation.
  • Carry out direction to ensure the Parts Warehouse and reception area are kept to a high standard of cleanliness.
  • To have the ability to work autonomously with professionalism and trust.

Controlling

  • Complete necessary documentation in relation to processing of orders as required by Company policies and procedures.
  • Record and process all parts orders through the DMS system.
  • Securely handle and account for payment collection.

Ensure all documentation is completed in an accurate and timely fashion.

  • Assist in maintaining optimum parts stock to support the overall parts operation and ensure the inventory database is kept accurate and up to date.
  • Monitor and maintain the security of parts inventory.

Communicating

  • Ensure good relations with key customers are developed and maintained to ensure client satisfaction and develop new business.
  • Answer all telephone calls promptly and respond to parts requests.
  • Control the stocking of inventory that is required by the business and understand the stock turn cycle.
  • Spare parts Business is itemized with clear allocation of every part and line.

General

  • Undertake all on the job and vocational training in an effective manner and be available, when required, to attend training courses.
  • Dispatch goods in accordance with supply schedules.
  • Be available for stocktaking duties. This process is generally undertaken once a year, on a Friday evening and Saturday (daytime). A month's notice prior will be given to ensure staff, are able to make necessary arrangements to ensure their attendance. This is compulsory, and forms part of your employment contract obligation.
  • Ensure Work Health and Safety procedures are always adhered to, and all hazards are reported to the Group Parts Manager.
