We're looking for a driven, persuasive communicator to lead the recruitment and rostering of coaching & sports officials — with a current focus on netball/ volleyball / touch rugby — across Melbourne.


About the Role

Melbourne Sports Institute is seeking a confident and dynamic Sports Officials & Coaching Allocations Coordinator to join our small, energetic team in Caulfield South.

While this role is currently focused on netball, it will also involve recruitment and rostering of officials and coaches for other sports as demand shifts throughout the year.

This full-time position centres on recruiting, coordinating, and allocating umpires and coaches to interschool fixtures across Melbourne. You'll also handle key administration tasks, upload fixtures into our scheduling and billing systems, and make sure we stay on budget when assigning shifts.


What You'll Be Doing
  • Recruit, onboard, and roster umpires and coaches for interschool fixtures
  • Write and manage job ads (Seek, Indeed, social media, direct outreach)
  • Liaise with clubs, associations, and universities to attract new officials
  • Verify Working with Children Checks, qualifications, and availability
  • Communicate with umpires and coaches daily via phone, text, and email
  • Manage fixture changes, cancellations, and replacements efficiently
  • Ensure rosters are accurate, balanced, and within budget
  • Maintain records and compliance using Access, Jotform, and MessageMedia
  • Support other coordinators as required during peak seasons

  • Professional, reliable, and thrives in a fast-paced team environment
  • Strong computer literacy — comfortable with databases and scheduling tools
  • Previous experience in sport administration, recruitment, or rostering is highly regarded

Requirements
  • Excellent written and verbal communication skills
  • Strong administrative and data-entry accuracy
  • Demonstrated strong work ethic, reliability, and ability to work autonomously
  • Availability Monday–Friday, 9am–5pm at our Caulfield South office (onsite role)
  • Occasional Saturday morning availability during peak seasons (minimum 4 Saturdays)
