RAAFA is seeking an experienced and innovative Information Manager to join our established and dedicated team in South Perth. As the Information Manager, you will be responsible for RAAFA's Electronic Document and Records Management System (EDRMS), driving efficient and effective management of information, records, data governance frameworks and privacy compliance. As the subject matter expert for RAAFA's CDMS and Laserfiche Repository, you will lead and oversee the Information Management team of five, fostering a culture of excellence and continuous improvement.

The role:

  • Management of RAAFA's information and records service, ensuring the effective and efficient processing of records is in accordance with regulatory compliance, while preserving the integrity of information.
  • Champion information management awareness, practices and processes through the implementation and support in record practices (creation, transfer, retention and disposal).
  • Collaborate with relevant stakeholders to establish and oversee RAAFA's data governance framework, to ensure the quality, security, and integrity of RAAFA's data.
  • Maintain the business classification scheme and electronic document and records management system (EDRMS).
  • Ensure privacy and security programs adequately protect the organisation's systems and data, including identifying and assessing privacy risks and working with relevant stakeholders, develop mitigation strategies.
  • Plan, coordinate and execute archiving/active record schedules in collaboration with business units, including coordinating the transfer of records to the archive facility.
  • Develop, implement and maintain the Information Quality Auditing process to ensure continuous improvement and compliance with agreed standards, policies, procedures and develop action plans in collaboration with key stakeholders to address areas for improvement.
  • Develop and review policies and procedures associated with records management in liaison with applicable business unit/s.
  • Ensure the maintenance and configuration of RAAFA SharePoint and CDMS and Laserfiche Repository, including the coordination of system changes, upgrades and training / support for key users.
  • Monitor regulatory changes to stay current with contemporary industry information and records management practices to ensure all service provision complies with applicable standards and legislation.
  • Oversee the development, update and publishing of document templates, in liaison with key stakeholders.
  • Develop, review and monitor compliance of the Document Control policy and procedure.
  • Optimise utilisation of RAAFA CDMS and provide support and guidance in its application.
  • Coordinate the development and regular review and update of training and reference materials associated with records management and the EDRMS.

Knowledge, Skills & Experience:

  • Bachelor's degree or Diploma in Information/Records Management or related field.
  • Organised with strong administrative skills with a high degree of accuracy and attention to detail and capacity to undertake and complete several tasks concurrently.
  • Working experience in authenticating and appraising archival records according to recognised archives standards including preparing, arranging, cataloguing and maintaining archival records and confident in providing advice on archival and recordkeeping responsibilities to staff.
  • Strong knowledge and understanding of relevant legislation (including privacy), business classification schemes and retention and disposal authorities such as Australian Record Retention Manual or State Records General Disposal Schedule.
  • An understanding of information security principles, with the ability to collaborate across ICT and risk teams to support secure data practices.
  • Experience in preserving historical records, documents and objects digitally.
  • Proven ability to develop policies and procedures associated with the archival and disposal of records, including safety protocols to protect archival data, records and documentation.
  • Knowledge and experience in the implementation and use of an electronic document and records management system (EDRMS).
  • Extensive experience working within document control, with working knowledge of electronic controlled document management systems with multiple business units, preferably SharePoint or similar document control system.
