We are an energetic practice of 60+ staff in Subiaco, plus 30 staff across our offices in Margaret River, Melbourne and Geelong.

What role are we looking to fill?

Our Subiaco office is currently seeking an experienced administrator with strong professional service experience to support the Landscape Architecture business unit. The role is offered part-time (approx hours, salary pro-rated) worked over 3-5 days, but may be considered full-time for applicants that demonstrate extended capability.

Reporting to Landscape's Business Unit Administrator & Accountant, the role will support all aspects of the day-to-day administration of the Landscape business and accounts team, consisting of the following main activities:

General business support

  • Support HR administrative functions for staff contracts, leave processing, personnel records and inductions including the onboarding of new staff members in accordance with our processes.
  • Support administrative aspects of tracking, preparation and lodgement of tender submission opportunities and responses within critical deadlines.
  • Support submission and project set-up in project management software.
  • Support staff and systems with software management and liaise with our external IT service provider.
  • Support website and marketing initiatives including liaison with external suppliers.
  • Assist with internal communication initiatives as guided by Directors.
  • Assist with calendar management for internal and external stakeholder events.
  • Facilitate inquiries and liaise with all levels of staff, clients, suppliers, co-consultants and industry bodies as required.
  • Work with the Shared Services Team and Environment Team to ensure unity and continuity across the business, brand and its processes.

Accounts support

  • Support the efficient processing of project related expenses and client set-up/ maintenance.
  • Support monthly invoicing and debtors follow-up.
  • Assist with processing sub consultants/suppliers' expenses.
  • Assist with employee reimbursements and travel claims.
  • Assist with processing staff leave requests.
  • Assist with accounts payable as required.

Who is our preferred candidate?

Our preferred candidate for the role will have 3+ years' experience working in business support roles, business qualifications and a legal right to work in Australia.

Your overall objective will be to support the smooth running of both the general and accounts administrative functions of the landscape business, to ensure our team are free to focus on projects and client service. You'll thrive in this role if you:

You will have established competency with the MS Office suite, along with a willingness to learn project management software (BQE Core) where all training and ongoing support is provided. Experience supporting Accounts administration, or technical skills in the Adobe Design suite will be highly regarded, but not essential, provided you embrace a positive attitude and a willingness to learn.
