The Returned and Services League of Australia WA Branch Incorporated (RSL WA) is one of Australia's most renowned charities with 106 Sub-Branch locations and over 6,500 members. The RSL has a rich history deeply rooted in Australian culture and heritage stretching back to 1916 after the First World War.

Our wellbeing, welfare, and claims advocacy services enable veterans and their families to thrive. RSL WA also hosts regular commemorative events including Anzac Day and Remembrance Day. POSITION SUMMARY

This is a parental leave cover position and it will be based at RSLWA State Branch in Perth CBD, reporting to the Marketing & Engagement Manager.  Successful candidate will be responsible for the end-to-end delivers of events, including all aspects of planning, event operations, administration and executive.

KEY RESPONSIBILITIES

  • Maintaining RSL WA's annual calendar of events. Work with the Marketing & Engagement Manager and key stakeholders to confirm dates, times, locations, and event formats.

  • Organising all aspects of events, including planning, logistics, bookings, vendor coordination, contractors' liaison and attendees' engagement.

  • Preparing VIP lists, send invitations, and coordinate RSVPs for RSL WA events.
  • Preparing clear event documentation including events plans, runsheets, MC notes, pack lists, staff and volunteer rosters, and more.

  • Provide key event information and answers to Frequently Asked Questions (FAQs) to assist front-line staff in responding to incoming enquiries from members and the wider community.

  • Assisting with the development of campaign briefs to produce event-related marketing material and communications.

  • Developing and maintaining relationships with VIPs, suppliers, contractors and event stakeholders (internal and external).

  • Assisting in the development and monitoring of clear event budgets to ensure RSL WA events are executed within budget.

  • Attending RSL WA events oversee bump-in and bump-out to ensure successful delivery.

  • Manage issues arising from events and escalate appropriate matters to the Marketing & Engagement Manager, Chief Operating Officer (COO), or Chief Executive Officer (CEO) where appropriate.

  • Host After-Action-Reviews (AARs) with key stakeholders to get feedback on event delivery and prepare post-event reports to improve in future.

  • Provide advice, support and feedback to other cross-functional teams at RSL WA hosting events.
  • Other duties as directed by the Marketing & Engagement Manager.

SELECTION CRITERIA

Qualifications and Experience

Successful candidates will have a proven track record dealing in event delivery. In addition, you will have:

  • Experience in the end-to-end coordination of large and complex events from planning to build, delivery, and reporting.
  • Experience with event software, ticketing, invitation management, or CRM systems.

  • Highly organised with the ability to work under time-pressure and meet important deadlines to ensure high-quality event delivery.

  • Excellent verbal and written communication skills.

  • Attention to detail and seek to continuously improve RSL WA events.

  • Resilient and flexible to adapt to changes in schedules and delivery as required.

  • Exceptional customer service ethic and interpersonal skills.

  • Well-developed organisational time management and project management experience.

  • Willingness to work outside of normal working hours for events including some weekends and public holidays like Anzac Day.

  • Strong computer literacy and knowledge of Microsoft 365 applications including Outlook, SharePoint, Word, Excel, and PowerPoint.

  • A willingness to embrace RSL WA's vision, mission, values, and strategic objectives so that you can champion these through your work.

  • A positive, warm, empathetic nature with a strong desire to make a positive difference to ADF members and their families.

  • While not essential, experience with the Defence and/or veteran community would be well regarded.

Successful candidate will be required to undergo a National Police Records Check prior to commencing employment.
