Position Description

We are seeking experienced Site Manager to join our Multi-Unit and High-end Project division.

Reporting to the Division Construction Manager, the Site Manager is responsible for managing and delivering multiple residential construction projects from site establishment to client handover. The role involves leading onsite activities, managing subcontractors, and ensuring quality, safety, budget, and timeline compliance.

The Site Manager also mentors Junior Supervisors and contributes to company-wide continuous improvement initiatives, including the development of construction policies, project management methodologies, and OH&S documentation. You will be instrumental in guiding teams, resolving complex issues on-site, and ensuring the project stays on schedule and within budget.

Duties &Responsibilities

Site Management:

·       Coordinate construction work in line with project priorities and plans

·       Maintain construction schedules and site attendance records

·       Organise required tools, equipment, machinery, and materials

·       Supervise daily work activities of subcontractors and trades

·       Ensure optimal workforce allocation and productivity

·       Supervise use and safety of machinery and plant

·       Identify and resolve on-site issues and disputes promptly

·       Monitor and control site expenditure, staying within approved budgets

·       Maintain detailed, accurate, and up-to-date site reports

·       Ensure each project is delivered on-time, within budget, and to quality standards

·       Approve subcontractor invoices only after completing QA and safety inspections

·       Other duties which are expected of your has a site foreman by you manager.

OHS:

·       Guarantee all safety precautions and quality standards are met

·       Ensure site safety and housekeeping as per Act and regulation

·       Conduct site induction, information and training as per safety policy and procedure

·       Review SWMS & Maintain OHS folder

·       Report and management hazard and incidents on site

·       Follow all WestUrban Safety Manual and policy

Project Program, Job Booking & Planning:

·       Provide fortnightly milestone reports and progress updates to management

·       Assist in developing project programs (Smartsheet or WesHub)

·       Identify and address issues in plans, designs, or documentation before build commencement

·       Ensure all job bookings are accurately maintained and up to date in Smartsheet/WesHub.

·       Program jobs with the correct lead times aligned with construction priorities and trade availability.

·       Book all jobs in advance to ensure timely delivery and reduce delays caused by unconfirmed or uncoordinated bookings.

·       Regularly review and update bookings to reflect site progress, weather conditions, and delivery timelines.

·       Communicate booking status clearly with relevant internal stakeholders and subcontractors.

Trades Management

·       Manage subcontractor performance and compliance with registrations

·       Document and dispute invoices for defective or non-compliant work

·       Provide feedback to procurement and management for vendor improvements

·       Support accounts team by ensuring timely approval of completed works and invoice documentation

Training and Mentoring Responsibilities

·       Provide ongoing training and development to Junior Supervisors

·       Mentor and coach Junior Supervisors on project management best practices and site management

·       Facilitate regular check-ins and feedback sessions with Junior Supervisors

·       Ensure Junior Supervisors understand and adhere to WestUrban's construction standards and policies

·       Assist Junior Supervisors with problem-solving and decision-making on-site

·       Support Junior Supervisors in developing their leadership and communication skills

Continuous Improvement

·       Adhere to and support the Business Management System (BMS), with full commitment to HSE and Quality processes.

·       Attend and participate in construction meeting, initiate and implement improvements

·       Ensure work conforms to the BCA, applicable specifications, and relevant authority guidelines.

·       Assist with communication project manager to promote construction projects and build strong market reputation and branding

·       Participate in development of company policies:

o    Construction policy and procedure

o    Project Management methodology

o    OH&S Documentation

o    Quality Management System

o    Project Specification

Key Performance Indicators:

Failure to meet any of the below may result in performance review or termination in accordance with company policy.

Project Delivery

o   Minimum of 3 projects managed concurrently, completed within agreed schedule and budget

o   Maintain 95% on-time completion rate across projects

Job Programming and Booking

o   All jobs to be booked with sufficient lead time and updated weekly.

o   Smartsheet/WesHub to reflect current status at all times – 100% compliance expected.

o   Delays caused by booking errors or lack of coordination will be reviewed under performance criteria.

Invoice and QA Approval

o   Complete and document all QA and OH&S checks before approving any invoice for subcontractor payment

o   100% compliance required; non-compliance may trigger performance warnings

Defect Management

o   All defects identified and progressively rectified prior to practical completion

o   Less than 5 minor items at final handover per project

Documentation & Reporting

o   Submit milestone reports biweekly without delay

o   Ensure site diary and documentation are updated daily

Compliance & Safety

o   100% SWMS compliance on-site

o   Zero tolerance for major OH&S breaches

o   Attend 100% of mandatory internal safety and training meetings

Team & Stakeholder Communication

o   Maintain professional communication with all stakeholders

o   Respond to internal emails and management requests within 24 hours

Mentorship & Development

o   Monthly one-on-one check-ins with Junior Supervisors

o   Provide documented coaching plans and skills development support

Budget & Cost Control

o   Identify and implement cost-saving opportunities, aiming for a minimum of 5% savings per project phase

10.   Client Satisfaction

o   Deliver defect-free handovers

o   No major complaints from clients during or after handover

11.   Policy Adherence

o   Ensure full compliance with all WestUrban BMS standards

o   Zero major non-conformances identified during internal or external audits.

Skills & Experiences

The successful candidate will demonstrate with below skills & experience:

·       Tracking record of successfully delivery multiple relevant residential projects for the recruited division

·       Extensive project management experience in the construction industry

·       Construction Management experience is ideal

·       Trade Qualification and Project Management qualification

·       Strong Res-Codes and BCA compliance knowledge

·       Sound understanding of the Victorian construction market including IOH&S

·       Strong ability to lead and manage a large site team to meet targets

·       Strong ability to work under pressure to meet deadlines

·       Excellent communication skills and problem-solving skills

·       Excellent team player with strong leadership

·       Strong attention to detail and willingness to learn

·       Knowledge in construction tender documentation.
