We are a boutique consulting firm providing company secretarial services to ASX-listed companies. Our team of six contractors supports a diverse portfolio of 15–20 businesses. We're seeking an experienced, highly organised, and detail-oriented Operations Coordinator.

Responsibilities:

• Monitor and manage email communications
• Track action lists and ensure timely follow-ups
• Maintain accurate time sheets by client
• Direct tasks to team members and ensure completion
• Support operational efficiency using Microsoft 365 and AI tools like Copilot
• Document new tasks and processes to add to our Cosec handbook
• For the right person, able to learn and demonstrate competency, the role will evolve from directing tasks to doing some of those tasks.

Requirements:

• Exceptional organisational skills and the highest attention to detail
• Efficient and commercially minded
• Strong written communication and logical thinking
• Proficiency in Microsoft Word, Excel, PowerPoint, Outlook
• Experience with time tracking and task management
• Familiarity with AI tools for productivity
• Availability at least during school hours (Mon–Fri) – minimum 30 hours per week
• Accountability and pride in delivering high-quality work
• Australian work rights required
