About the role
Keegan Transport Pty Ltd is seeking a Transport Administrator to join our team in Maddington, WA. As a full-time role, you will be assisting the management in the day to day running of the transport bookings and asset management. You will be a vital link between our operations, drivers, and clients, ensuring everything runs efficiently and on time.
What you'll be doing
General responsibilities & duties:
Document preparation for employees and managers on an as needed basis.
Understand Accounts Receivable and Payable processes.
General office duties and ad hoc requests.
Management support and assistance.
Ensuring accurate and timely data entry and reporting.
Respond to emails professionally and promptly.
Transport Scheduling & Coordination
Plan, schedule, and coordinate daily transport runs for internal drivers and subcontractors.
Prepare and allocate jobs to drivers, ensuring clarity and timeliness.
Monitor job progress, proactively resolving delays or issues.
Communicating any issues like demurrage to customers and the accounts team for billing.
Investigate and resolve customer queries related to invoicing and payment discrepancies.
Prepare and issue transport quotes based on job requirements, locations, and fleet availability.
Onboard new clients into internal systems.
Confirm and communicate bookings with clients and subcontractors.
Liaise with suppliers for external quotes and processing Supplier Vendor forms.
Fleet & Asset Support
Schedule basic maintenance and log vehicle defects.
Keep fleet records updated and communicate issues effectively.
Driver & Transport Administration
Onboard new drivers, ensuring all necessary information is collected and integrated into the transport system.
Provide training to new drivers, ensuring proficiency in using the transportation management system.
Maintain up-to-date records for driver licences, inductions, and fatigue management compliance.
Provide ongoing support and guidance to drivers to ensure operational efficiency.
What we're looking for
Highly organised with ability to prioritise and manage time.
Have office administration experience and skillsets.
Excellent communication skills, and be proficient with Microsoft Word, Excel & Outlook.
Ability to maintain strict confidentiality.
The ability to learn and take on different tasks as you and the business continues to develop and grow.
