Position Summary

We are seeking an experienced Event & Creative Coordinator (2+ years) to support the planning and delivery of premium events and contribute to the creative outputs that bring them to life.

This hybrid role is ideal for someone who thrives in logistics and operations and enjoys supporting creative development, including artwork coordination, signage concepts, visuals, digital assets, and theming ideas.

You'll work across conferences, gala dinners, brand activations, incentives and APAC roadshows, and support our Creative Director and design partners with efficient, accurate, and well-presented creative execution.

Key Responsibilities

Event Planning & Coordination

  • Coordinate end-to-end event delivery across Australia and APAC
  • Build project plans, run sheets, timelines and logistics schedules
  • Coordinate venues, AV, catering, travel, accommodation and suppliers
  • Support delegate management and registration systems

Creative Support & Design Coordination

  • Create on-brand mockups, signage concepts and simple visuals (Canva; Adobe a plus)
  • Assist with pitch decks, proposals and client-facing presentation materials
  • Maintain the Artwork Matrix for each event, ensuring deadlines, versions, specs and approvals are up to date
  • Prepare accurate specifications and measurements for signage/print assets
  • Maintain consistent file management, naming conventions and production-ready exports
  • Provide strong attention to detail, ensuring spelling, grammar, menus and content are accurate before going to design
  • Contribute creative ideas for theming, branding and elevating onsite event experience

Digital Touchpoints & Microsites

  • Support updates to event microsites and registration pages (SplashThat, Swoogo, Jomablue or similar)
  • Prepare digital assets for EDMs, banners, event comms, sponsor tiles and apps

Portfolio Events & Large-Scale Delivery

  • Support multiple events across a dynamic annual calendar
  • Assist with multi-city and multi-day programs
  • Support flagship conferences, gala dinners and premium brand activations
  • Opportunity for interstate and APAC travel

Supplier & Venue Management

  • Source and manage suppliers across AU & APAC
  • Support quotes, negotiations, bookings and timelines
  • Coordinate venue setups, production requirements and F&B

Client Communication & Support

  • Support WIPs, client meetings and updates
  • Prepare agendas, notes, recaps and briefing documents
  • Assist with artwork matrices, creative approvals and event decks

Onsite Event Operations

  • Assist with bump-in/bump-out, signage placement and theming
  • Perform creative QA onsite, signage checks, menu accuracy, print verification
  • Troubleshoot last-minute edits or print requirements
  • Support production teams, speakers and event flow

Project Administration

  • Maintain Asana/Monday boards, cost trackers and documentation
  • Support PO requests, invoices and reconciliations
  • Prepare event specs, schedules, compliance documents and wrap-ups

Ideal Profile

  • 2+ years' experience in event coordination or event management
  • Experience supporting corporate/B2B events or large-scale programs
  • Strong proficiency in Canva; Adobe suite a plus
  • Familiarity with SplashThat, Swoogo or similar platforms
  • Ability to manage artwork specs, measurements and creative production requirements
  • Strong attention to detail, spelling, grammar, menus, signage accuracy
  • Skilled in building clean, polished client-facing documents
  • Highly organised, able to manage trackers, deadlines and multi-project workflows
  • Confident using GSuite, Dropbox; or CRMs a bonus
