ROLE PURPOSE

The Head of Operations and Coordination is a lynchpin in TPDi's team. They act as a strategic integrator, informing then translating leadership decisions into action while establishing and maintaining the systems and processes that enable TPDi to scale with discipline and focus.

This is your opportunity to help grow a purpose driven organisation: TPDi is on a mission to shape technology for the benefit of humanity. You will play a key coordination role across all TPDi functions, while leading finance, operations, and events functions. As TPDi grows, we anticipate these functions will be expanded, with new team members reporting to you. But, in the immediate term, we are looking for someone who can roll up their sleeves and get the job done while building the systems and processes to support growth. You must be comfortable operating in a dynamic work environment: the role will evolve quickly within TPDI's rapidly growing and fast-paced operating environment.

  • Event staff (external, as required)

KEY RESPONSIBILITIES

Leadership Support & Excellence

  • Partner with the Executive Director and Deputy Executive Director to manage priorities, workflows, and follow-through on strategic initiatives.
  • Provide quality assurance across key outputs including reports, presentations, meeting and board materials, maintaining TPDi's high standards of clarity and professionalism.

Governance

  • Support preparation for board and advisory meetings, including agendas, briefings, reporting, and tracking of follow-up actions, working closely with the Company Secretary and Executive Director.
  • Ensure adherence to ACNC, ASIC, ATO, and other regulatory obligations.

Finance & Resource Management

  • Supervise the bookkeeper to ensure:

  • Smooth finance operations including banking, payroll, and BAS.

  • Develop, track, and report on budgets and cash flow for TPDi Executive and Board.
  • Ensure financial processes (invoicing, reconciliations, acquittals) are accurate and timely.

  • Oversee audits, insurance, and regulatory reporting.

Program & Event Excellence

  • Work closely with the Head of Strategy & Engagement and Operations Manager to deliver high quality stakeholder-facing events including workshops, roundtables, salons, and launches.
  • Oversee operational dimension of TPDi's Professional Development Programs: learner registration, fee payments, vendor coordination, and materials.
  • Negotiate and manage contracts with service providers, consultants, and event partners, ensuring value-for-money and smooth relationships with vendors.

Organisational Systems & Scaling

  • Lead HR processes including recruitment, onboarding, and staff support.
  • Manage outsourced IT services and maintain core IT systems (Hubspot, Asana, website).
  • Streamline and strengthen internal workflows and processes to improve efficiency and clarity across the organisation to support TPDi's growth.

CAPABILITIES & EXPERIENCE

  • Commitment to TPDi's mission.
  • Demonstrated success in leading, developing, and energising high-functioning and fun teams.
  • Comfort with a start-up environment: adaptable, proactive, and solutions oriented.
  • Strong operational management experience, ideally in a fast-growing organisation or start-up.
  • Excellent coordination skills, with attention to detail.
  • Experience prioritising, synthesising, and briefing senior leaders.
  • Track record of delivering impactful, events from planning to execution on a tight timeline and small budget, with creativity and flair.
  • Skilled in finance and resource management, including budgets and reporting.
  • Experience managing vendors, contracts, and outsourced services.
  • Willingness to work at all altitudes, comfort with rapidly changing altitudes in a workday: mucking in with event set up, proofreading a research report, hosting VIPs, running payroll (before 10am).
