Personal Assistant

Are you an experienced personal assistant or an expert in administration seeking a new career opportunity where your input holds significant value?

We are seeking a Personal Assistant to provide support to the Director at our office located in Port Macquarie.

As Personal Assistant to the Director you will need to be organised and have excellent interpersonal skills as you will be required to work across the entire business on various projects. This is a fast paced role in a rapidly changing environment. This position suits a forward thinking individual. As the personal assistant, you will be responsible for the Director's affairs in all aspects of the business.

Tasks include but are not limited to:

  • Diary & Email management

  • Schedule and attend weekly team meetings.

  • Set meeting agendas, take minutes and follow up action items

  • Attending monthly toolbox meetings

  • Creating reports for customers

  • Manage internal filing systems

  • Tender management and support and tracking submission deadlines

  • Supporting project management and coordinating with builders for upcoming projects.

  • Generating Monthly reports for the Director

  • Managing assets and arranging car services for team members as required

  • Managing invoicing of completed jobs

  • Assisting with scheduling technicians' daily jobs & booking in with clients/customers

  • Assist the team with administrative tasks and general office management

  • Handle sensitive information with discretion and always maintain confidentiality

Ideally you will have:

  • Experience in supporting Management

  • Customer Service Experience

  • High computer literacy & experience with Microsoft Office

  • Proven ability to work collaboratively with individuals and in cross functional teams

  • Adaptability and flexibility in a fast-paced environment

  • Exceptional written and verbal communication skills

  • Proven experience in an administrative or assistant role
