As KOSEC expands nationally, we are seeking a well-presented, highly organised Personal Assistant & Human Resources Assistant to support senior executives and play a central role in recruitment, employee onboarding, and people operations. This hybrid position combines high-level executive support with direct involvement in HR and talent acquisition initiatives—ideal for someone looking to make an impact within a prestigious financial firm.
The OpportunityThis is a high-impact role for a proactive, polished, and detail-oriented professional who thrives in a fast-paced, high-performance environment. You will work directly with KOSEC's leadership while also driving critical HR functions—including the recruitment of new talent and leading employee induction sessions—ensuring smooth integration and alignment with the company's culture and standards.
Key ResponsibilitiesExecutive & Administrative Support
- Provide high-level support to KOSEC's executive team, including diary management, meeting coordination, travel arrangements, and internal communications.
- Handle confidential correspondence, reporting, and follow-ups across key departments.
- Assist with the preparation of professional documentation, presentations, and event coordination.
- Act as a liaison between executives, internal teams, and external stakeholders.
Talent Acquisition & Recruitment
- Play an active role in recruiting top-tier candidates for roles across the firm.
- Reach out to candidates via LinkedIn and other platforms, schedule interviews, and conduct initial screenings.
- Coordinate and participate in group interviews, shortlisting, and hiring processes in collaboration with leadership.
- Prepare contracts, maintain candidate records, and oversee recruitment documentation.
Onboarding, Induction & Employee Engagement
- Lead employee inductions and orientation sessions for all new hires, ensuring they understand KOSEC's culture, processes, and expectations.
- Facilitate a smooth onboarding experience, from documentation to systems access and first-week scheduling.
- Support employee engagement initiatives, performance review coordination, and team training programs.
- Assist in planning and executing staff events, leadership development activities, and feedback surveys.
HR Administration & Compliance
- Maintain accurate HR documentation, contracts, and employee records.
- Ensure onboarding and employment processes meet compliance and internal policy standards.
- Assist with payroll support, leave management, and other day-to-day HR operations.
- Handle sensitive employee matters with professionalism, discretion, and integrity.
- Experience as a Personal Assistant, Executive Assistant, HR Coordinator, or in a similar support-focused role.
- Exceptional organisation, multitasking, and time management skills.
- Strong written and verbal communication with a confident, professional presence.
- A well-presented individual who upholds KOSEC's high standards of personal appearance and etiquette.
- Comfortable conducting interviews, running induction sessions, and managing onboarding.
- Familiarity with HR practices, Australian employment law, and recruitment tools is an advantage.
- Proficiency with Microsoft Office, LinkedIn, and scheduling tools.
- A qualification in HR, Business Administration, or a related field is preferred.
