About the Role

As our Office Administrator, you will play a key role in supporting both our clients and internal teams. Your responsibilities will include:

Client & Phone Management
  • Answering incoming phone calls promptly and professionally
  • Handling customer enquiries and guiding clients through our services
  • Managing email inboxes and responding to queries in a timely manner
  • Greeting visitors and providing a friendly front-of-house experience
Scheduling & Operations Support
  • Scheduling work crews and coordinating daily job runs
  • Updating calendars, job sheets, and internal scheduling systems
  • Liaising with supervisors, drivers, and operational staff to ensure work runs smoothly
  • Assisting with logistics planning, urgent job reshuffling, and general workflow coordination
Administration & Office Support
  • Preparing documents, correspondence, quotes, and job confirmations
  • Filing, data entry, and maintaining accurate records
  • Ordering office supplies, managing stationery, and general office upkeep
  • Maintaining registers, compliance documents, and basic reporting
  • Supporting management with ad-hoc administrative tasks
Bookkeeping & Accounts Support
  • Low-level bookkeeping tasks
  • Entering invoices and basic accounts payable/receivable
  • Reconciling receipts and assisting with end‑of‑month processes
  • Generating simple financial summaries or reports as required
What We're Looking For

We're looking for someone who brings:

  • Strong communication and customer‑service skills
  • Excellent organisation, accuracy, and attention to detail
  • Ability to multitask and prioritise in a busy environment
  • Confidence using computers, email, and basic business software
  • A friendly, professional manner when dealing with clients and colleagues
  • Previous administration experience
  • Experience with Xero
  • Experience with Jobber and ServiceM8 a plus but not essential
