Our Creative Team team are currently looking for a Creative Administrator to join the team as a maternity cover for a period of 7 months. This role will be responsible for providing administrative, project management, and creative support to the Hillsong Creative Team, ensuring smooth operations across local and global creative functions, effective communication, and compliance with relevant policies and procedures.

Other aspects of this role include:

Administration

  • Provide administrative assistance and support to the Creative Lead and Creative Leadership team as required.
  • Assist with documentation, organisation, and general coordination within the Creative Team.
  • Support budget processes, including expense tracking and reconciliations as needed.
  • Coordinate logistics, passes, information, and resources for creative events and conferences.
  • Schedule meetings, take minutes, and manage calendars as required.
  • Arrange domestic travel and accommodation for Australian Creative Teams, as well as for global creative staff and guests as required.
  • Facilitate Creative AU Team Night Trainings, including organising Zoom links, hosts, resources, and post-event distribution of materials.

Account / Systems Management

  • Manage departmental email accounts.
  • Process invoices and payments, ensuring accuracy and timeliness.
  • Maintain an understanding of departmental budgets and financial processes.
  • Provide professional and courteous support to internal teams, contractors, and vendors.
  • Respond to inquiries from global and Australian teams as well as external contacts.
  • Oversee and maintain the central projects calendar.
  • Manage the Global Planning Center account, assisting global and Australian Creative Teams with setup and troubleshooting.
  • Maintain the Creative SharePoint, ensuring current and relevant resources are available.
  • Manage and update the Creative YouTube Channel with new training materials.
  • Oversee the Global Creative WhatsApp group, ensuring contact lists for creative leads remain accurate and up to date.

Team Communication

  • Centralise and streamline communication across the Creative Team at Hills and across Creative AU and Global.
  • Support key leadership with the preparation and distribution of communications and updates.
  • Assist in coordinating global calls, including scheduling, hosting, and distributing related assets.
  • Support global teams in locating, accessing, and sharing key information.
  • Assist in recruiting, coordinating, and communicating with creative volunteer teams for special events and projects.

Licensing

  • Source and obtain quotes for song licensing from publishers for paid ticketed events.
  • Provide up-to-date advice on budgeting and licensing restrictions for songs.
  • Liaise with the Hillsong Risk and Compliance Team to ensure adherence to licensing regulations and guidelines.
  • Assist with image licensing for speakers and other conference content.

Safe Church Liaison

  • Ensure all creative departments, events, and rehearsals comply with WHS policies and Safe Church procedures.
  • Ensure risk assessments are completed and submitted in a timely manner prior to events.

Ideally, the successful candidate will bring:

  • Certificate IV or Diploma in Business Administration, Creative Industries, Event Management, or a related field (or equivalent experience).
  • Demonstrated experience (2+ years) in an administrative, project coordination, or team support role.
  • Experience working in a creative, event-based, or church/ministry environment preferred.
  • Experience coordinating multiple stakeholders and managing competing priorities.
  • Working knowledge of budgeting, invoicing, and reconciliations.
  • Proficiency in Microsoft 365 (Outlook, Excel, Word, SharePoint) and collaboration tools such as and Planning Center Online.
  • Ability to handle confidential information with discretion.
  • Understanding of copyright, licensing, and compliance requirements desirable.
