The Principal Events Specialist is a highly skilled subject matter expert, responsible for planning and executing complex to highly complex marketing events.
This role oversees particular tasks or activities throughout the campaign / events planning and execution process, such as meeting with vendors at the venue location to help with set-up, running errands for supplies and decorations, registration and attendee tracking, presentations and materials support and pre- and post-event evaluations.
The Principal Events Specialist procures and coordinates vendor services and provides general on-site event support and works with cross functional stakeholders to ensure the completion of a successful marketing event.
This role provides coaching and mentoring to new or less experienced members of the team.
Key responsibilities:
- Executes event strategies that align with marketing and business goals, identifying target audiences, objectives, and key messages.
- Plans and executes a variety of events, including webinars, seminars, workshops, conferences, trade shows, and virtual events.
- Drives attendee engagement through pre-event communication, networking opportunities, and interactive event elements.
- Oversees event setup, registration, and coordination, ensuring a seamless attendee experience.
- Ensures that marketing event costs remain with the allocated budget and helps to ensure that the marketing event itself is carried out smoothly.
- Builds and maintains relationships with event partners, sponsors, vendors, and industry organizations.
- Creates reliable financial reports and collecting payments on time.
- Plans for potential scenarios that could impact the integrity of the event.
- Maintains a working knowledge of the complex needs of a wide variety of events.
- Conduct research on vendors and makes selections based on creativity, quality, and cost.
- Books venues and schedules guests, which includes contract drafting and confirmation and day-of logistics.
- Collaborates with content creators to develop event-specific content such as presentations, collateral, scripts, and promotional materials.
- Ensures staffing capacity across all functions of an event (registration, set up, catering, audio/visual, etc.).
- Conducts post-event evaluations, analyzes results, and provides recommendations for continuous improvement.
- Follows up with leads and contacts generated from events to nurture relationships and conversions.
- Performs any other related activity as required.

- Extended proficiency with Microsoft Office Suite.

- Excellent collaboration skills with the ability to build sound stakeholder relationships.
- Technology and social media savvy.
- Strong organizational and project management skills with the ability to manage multiple events simultaneously.
- Analytical mindset to measure event performance and derive insights for optimization.
- Extended level of creativity to develop innovative event concepts and engagement strategies.
- Team player with the ability to collaborate across departments and levels
Academic qualifications and certifications:
- Bachelor's degree or equivalent in Marketing or Public Relations or related field.
- Project management certification(s) would be preferred.
Required experience:
- Extended demonstrated experience gained in a similar role.
- Extended demonstrated experience working within a large global matrixed organization.
- Extended demonstrated experience in event planning/coordination.
- Proven track record of previously successful marketing events.
- Extended demonstrated experience working with virtual event platforms and tools is a plus.
