Job Description
About the Role
The Facilities & Maintenance Coordinator is responsible for supporting the effective and efficient management of the RACP's buildings across Australia and New Zealand. This role plays a crucial part in ensuring a safe, functional, and comfortable environment for staff, visitors, and business operations, while optimising resource utilisation and compliance with relevant regulations.
This is a full-time, office-based role located at 145 Macquarie Street, Sydney, with standard working hours of 8:30 AM to 5:00 PM, Monday to Friday.
Key Accountabilities
- Asset Performance & Maintenance: Ensure functionality is maintained in all RACP-owned and leased assets, including critical building services (HVAC, electrical, hydraulic, fire, and security systems). This involves implementing preventative maintenance schedules, overseeing reactive repairs, and effectively managing contractors across the RACP property portfolio.
- Minor Repairs & General Maintenance: Conduct minor repairs and routine maintenance tasks to ensure the immediate functionality and appearance of facilities. This includes replacing light globes, tightening loose fixtures, addressing minor plumbing issues (e.g., leaking taps), adjusting door closers, assembling items etc.
- Safe & Productive Environment: Foster a safe, secure, and conducive work environment for all RACP staff, members, and visitors. This includes conducting regular facilities inspections to identify and mitigate potential hazards, supporting emergency response plans, and managing various Facilities administrative requirements.
- Space Management: Ensure all premises are clean, well-maintained, and support operational needs. This involves managing space utilisation, promptly addressing support requests, and maintaining high standards of presentation across all RACP sites.
- Property Strategy & Sustainability: Contribute to the strategic long-term planning and optimisation of RACP's property footprint. This includes assisting with accommodation reviews, identifying opportunities for facilities upgrades, and supporting sustainability initiatives (e.g., energy efficiency, waste management) to ensure each site aligns with RACP's operational requirements.
Essential Attributes
Desired Skills and Experience
- Solid hands-on experience in a similar role providing comprehensive administrative and operational support in a facilities or property management setting. This includes coordinating with internal staff and external vendors/contractors for scheduling, service delivery, and compliance, as well as an understanding of WHS principles to contribute to a safe working environment.
- Intermediate proficiency in using a range of software applications including MS Office – Outlook, Word, Excel, Visio – facilities management systems (e.g. JIRA), and databases like tenant portals for tracking, work order management, and maintaining detailed records.
- Well-developed written and verbal communications skills with a focus providing strong customer service.
- Excellent organisational and time management skills with the ability to establish priorities and manage workloads.
- Exposure to projects and/or familiarity with providing project support to one or more colleagues within a deadline-oriented environment.
- Well-developed prioritising and deadline management capabilities to meet the changing needs of the team.
