With a strong project pipeline and an outstanding reputation in the luxury home sector, we're growing – and looking for a dedicated Residential Contract Administrator / Pre-Start Consultant to lead the way.

About the Role

As our Residential Contract Administrator / Pre-Start Consultant, you will manage the project lifecycle from documentation to client approvals, ensuring each job is fully prepared for construction. Working closely with internal teams and clients, you will coordinate addenda, permits, reports and variations to support a smooth transition into site.

You will be responsible for maintaining accuracy, driving documentation efficiency and keeping all stakeholders aligned. This role is perfect for someone who is organised, detail-focused and confident working with both clients and construction teams.

Key duties include:

  • Working with the drafting team and completing addenda for assigned jobs
  • Ordering energy rating reports and CDC, preparing documentation for Building Permit applications
  • Completing documentation checks and raising PCVOs
  • Conducting pre-start meetings with clients and raising variations
  • Liaising with clients to ensure all final documents are signed

We're seeking an experienced residential construction professional with at least 3+ years in contract administration or project coordination, ideally within the custom or luxury home sector.

Other Responsibilities

  • Respond to client queries professionally and promptly
  • Assist site managers with addenda, selections and documentation
  • Collaborate with the project administrator on subdivision and titling processes
  • Act as the primary point of contact in the office for project-related matters
  • Enhance company policies, procedures and systems for efficiency
  • Manage client relationships to ensure a high level of satisfaction

Essential Skills

  • Proven experience managing luxury residential construction projects ($1.5M-$5M range)
  • Proven experience in residential contract administration or project coordination
  • Strong understanding of end-to-end project lifecycle from approvals to construction
  • Excellent knowledge of NCC and WA building requirements
  • High-level organisational and programming skills
  • Strong communication skills with the ability to manage multiple stakeholders
  • Proficiency in construction management software and Microsoft Office
  • Exceptional attention to detail and documentation accuracy
  • Ability to manage contract variations, permits, and client expectations
