About the role

The Minimally Invasive Surgery Centre (MISC), home to Maguire Upper Limb, Gold Coast Carpal Tunnel Clinic and Sports and Orthopaedic Specialists, is seeking an experienced Medical Secretary / Practice Manager to join our team in Southport, Queensland. This full-time role is integral to the smooth running of our private medical practice, supporting our team of highly skilled nurses, admin staff, doctors and Orthopaedic Surgeon/Sports Medicine Practitioner, Dr Michael Maguire. As the Medical Secretary/Practice Manager, you will be responsible for overseeing all administrative and operational aspects of the practice to ensure efficient and patient-focused service delivery in a supportive and empathetic work environment.

What you'll be doing

Be part of a new and evolving branch of Medicine (Microinvasive/Ultrasound-Guided Musculoskeletal Surgery), with patients coming from all over Australia and Overseas to access these revolutionary procedures.

  • Oversee the day-to-day operations of the practice, ensuring compliance with relevant medical and regulatory requirements.
  • Supervise Junior Admin staff and organise their workflow.

  • Coordinate and manage all administrative tasks, including medical billing, patient bookings, correspondence, and records management.

  • Liaise with patients, healthcare providers, and insurance companies to facilitate seamless patient care.
  • Manage and supervise the administrative staff, providing training and guidance as needed.
  • Implement and maintain effective systems and processes to enhance practice efficiency.
  • Contribute to the development and implementation of practice policies and procedures.
  • Assist with planning and coordinating special events, such as patient education seminars.

What we're looking for

  • A minimum of 3-5 years' experience in a similar medical secretary or practice management role would be ideal.
  • Strong administrative and organisational skills, with the ability to multitask and prioritise effectively.
  • Excellent communication and interpersonal skills, with the ability to liaise with a diverse range of stakeholders.
  • Proficient in the use of medical software and computer applications.
  • Proficient in medical practice management software (e.g., Genie, Clinic to Cloud, or Zedmed) and Microsoft Office applications
  • Thorough understanding of medical terminology, billing processes, and regulatory requirements.
  • Experience with medical billing processes including Medicare, private health insurance claims, and DVA billing
  • Demonstrated problem-solving and decision-making abilities.
  • Commitment to delivering exceptional patient-centred care.
  • A background in nursing would help obtain the role.
  • Australian citizenship, permanent residency, or valid work visa with unrestricted work rights
  • Experience in orthopaedic, surgical, or specialist medical practice preferred but not essential
