The Opportunity

We are seeking a detail-oriented and results-driven Accounts Receivable Specialist to join our team. In this role, you will be responsible for managing customer accounts, ensuring timely collection of outstanding payments, and maintaining accurate financial records. You will work closely with clients to resolve billing inquiries, process payments, and provide excellent service to support long-term business relationships.

Your responsibilities will include monitoring accounts receivable, reconciling discrepancies, preparing aging reports, and collaborating with internal teams to ensure smooth and efficient cash flow. Strong attention to detail, communication skills, and the ability to manage multiple accounts are key to success in this position. Staying informed on company policies, industry standards, and compliance requirements will be essential to delivering accurate and high-quality financial support.

Your Role

  • Respond to invoice and payment enquiries from clients

  • Reconcile payments and ensure accuracy in records

  • Mark invoices as paid in Xero once payment is confirmed to stop unnecessary reminders

  • Process refunds promptly as needed

  • Follow up on failed payments via Ignition (contact clients where necessary)

  • Chase expired credit cards – contact clients to update their details
  • Manually mark payments as paid in Ignition when not processed via direct debit
  • Call debtors and manage overdue accounts professionally
  • Turn payment reminders on/off depending on client circumstances

Who we're looking for:

  • Bachelor's degree in Accounting, Finance, or related field (preferred but not always required).

  • Xero experience a must and Ignition software a huge bonus

  • Proven experience as an Accounts Receivable Specialist, Accountant, or in a similar finance role.
  • Strong understanding of accounting principles and practices (particularly receivables management).
  • Proficiency in accounting software (e.g., Xero, QuickBooks, SAP, NetSuite) and MS Excel.
  • Excellent attention to detail and high level of accuracy in data entry and reconciliation.
  • Strong organizational and time-management skills; ability to manage multiple accounts and meet deadlines.
  • Effective communication and interpersonal skills for dealing with clients and internal teams.
  • Problem-solving mindset with the ability to resolve billing discrepancies and client issues.
  • Knowledge of invoicing, payment processing, collections, and reporting.
  • Familiarity with compliance standards and regulatory requirements related to financial transactions.
