Summary:The purpose of the position will be to contribute to the delivery of quality Specialised Homelessness Service team efficiencies through the administration of program processes and information systems. Providing secretariat support to the Specialised Homelessness Team.

Duties & Responsibilities

  • Coordinate the provisioning of equipment (including stationery) as directed by the manager

  • Source options, obtain quotes, coordinate requisitions and receipt of goods

  • Coordinate fleet vehicle processes including log books, cleaning servicing and repairs

  • Coordinate inventory and asset management

  • Coordinate staff professional development

  • Coordinate team travel – flights and accommodation

  • Arrange Travel warrants, travel allowance and taxi vouchers

  • Coordinate property and asset management requirements including: office signage and program collateral (booklet, brochures etc.)

  • Liaise with TAIHS Facilities and Infrastructure Lead as required

  • Liaise with TAIHS Finance team regarding process requirements as required

  • Liaise with Program Manager regarding decisions made regarding program expenditure

  • Be available to staff to provide support around software use and stationery supplies

  • Preparing a room and resources for team meetings

  • Provide high level support, including preparation of meetings, including the agenda, documentation, minute taking and assignment of follow up actions

  • Manage and oversee staff rosters

  • Arranging meeting venues, conferences and catering as required

  • Keep staff updated and reminded consistently

  • Participate in TAIHS PP&R processes

  • Contribute effectively to team cohesion and performance

  • Maintain professional competencies

  • Perform work in accordance with organisational policies, procedures, processes controls and work instructions

  • Comply with the Code of Conduct

  • Contribute to the mitigation of risk and the development of a safe workplace

  • Work collaboratively with internal and external services

Required Qualifications and Experience

  • Sound knowledge of basic administration skills

  • Certificate in Business or equivalent (Desirable)

  • Hope and Healing or willingness to obtain

  • Ability to use MS Office suite

  • High degree of competency in SHIP (database)

  • Excellent communication skills written, verbal and interpersonal when liaising with SHS client group and stakeholders

  • Ability to work independently as part of a professional service delivery team

  • Ability to work with a team in ways that are respectful, transparent and acknowledging of individual's skills, abilities and capacities.

  • Ability to autonomously and display initiative, self-motivation, time management and solution focused skills

  • Demonstrated ability to take direction, determine priorities and manage workloads in order to meet agreed timelines and objectives

  • Have an understanding of the historical and contemporary issues and challenges relevant to the Aboriginal and Torres Strait Islander communities, organisations and individuals

Practical Requirements

  • Current C Class Drivers Licence (Qld)

  • Current Blue Card (working with children and young people) Before commencement of employment

  • Satisfactory Police Check – Before commencement of employment/no Serious/Criminal/Court Record (if required)

  • Work out of normal business hours may be required
