Position Summary:
The General Clerk plays a vital role in supporting the daily operations of the business through administrative and clerical tasks. This position involves customer service, scheduling, record keeping, invoicing, and general office duties. The ideal candidate is organized, detail-oriented, and able to work efficiently in a fast-paced environment.
Key Responsibilities:
- Answer phone calls and respond to customer inquiries and service requests.
- Assist with scheduling cleaning jobs and coordinating staff assignments.
- Prepare and issue quotes, invoices, and receipts using accounting or invoicing software.
- Maintain and update client records, job schedules, and employee rosters.
- Manage incoming and outgoing emails and correspondence.
- Collect staff timesheets and assist with basic payroll data entry.
- Order office and cleaning supplies and manage inventory levels.
- Perform general office duties such as filing, scanning, photocopying, and data entry.
- Liaise with customers, staff, and suppliers as required.
- Support the business owner and cleaning team with various administrative tasks as needed.
Qualifications and Requirements:
- At least Bachelor's degree in Accounting, Business Administration, Human Resource Management, or a related business discipline is preferred.
- Previous experience in an administrative or clerical role is preferred.
- Strong customer service and communication skills.
- Excellent organizational and time management abilities.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and basic accounting software (e.g., MYOB, Xero, or similar).
- Ability to work independently and as part of a small team.
- High attention to detail and a proactive attitude.
Desirable:
- Familiarity with the cleaning industry or experience in a service-based business.
- Knowledge of scheduling tools or customer relationship management (CRM) systems.
Job Type: Full-time
Pay: $60,000.00 – $68,000.00 per year
