About the Role
We are seeking a motivated and detail-oriented Property Program Administrator to support the delivery of Major Property Projects within the Treasury & Investment Services team.
Reporting to the Head of Property Program Delivery, this role provides coordination and administrative support across the full lifecycle of property and development projects. From feasibility and design through to approvals, construction, leasing and handover.
This is an excellent opportunity for early-career professionals keen to gain experience across major capital works while contributing to the property strategy for a values-driven organisation
Key responsibilities:
- Coordinate project documentation including budgets, contracts, schedules, and approvals.
- Maintain accurate, compliant document and record management.
- Facilitate execution of project documents in line with delegations and authority processes.
- Liaise with consultants, contractors, councils and internal teams to support project process.
- Schedule and coordinate PCG/DCG and project meetings, prepare agendas, take minutes, and distributions.
- Assist in preparing & coordinating documentation for project meetings, including presentations.
- Support clear and consistent communication across relevant stakeholders including councils of the Uniting Church Synod.
- Track project milestones and maintain project reporting systems.
- Prepare project updates and assist with feasibility studies, cost inputs, and business case documentation.
- Monitor industry trends to support informed decision-making and continuous improvement.
- Assist with financial processes including invoices, purchase orders, and budget monitoring.
- Undertake additional duties as required to support project delivery and team objectives.
About You:
- Tertiary qualifications or studies in Property, Construction, Project Management or related field (desirable).
- Experience providing project administration support in property, construction or capital works environments.
- Strong organisational and administrative capability with attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office and experience with project or document management systems.
- Strong problem-solving skills and the ability to manage competing priorities.
- Understanding of property project lifecycles and governance processes (advantageous).
- Ability to maintain confidentiality and work with discretion.
- Preparedness to work within the polity and ethos of the Uniting Church in Australia.
- Positive, flexible attitude and willingness to contribute to broader team goals.
