About the TeamOur Operations team works with a diverse customer base to support several nationally significant supply chains. With management responsibility spanning across five states, our 8,500km rail network is used to transport bulk products, passenger and general freight, including steel and a vast array of consumer items such as groceries, electrical goods and other items for both import and export markets.
The Operations teams work within several complex and challenging environments, including some of the busiest rail corridors in Australia to deliver safe, efficient and sustainable service delivery outcomes for its customers, stakeholders and the community.
About the Opportunity
Deliver timely, accurate, and confidential financial and administrative support to the Corridor Works team to facilitate smooth daily operations. Assist with project coordination and administration to ensure projects are completed on schedule and in line with required specifications.
Responsibilities of the role include, but not limited to:
- Provide specialised project administration services to the project team including the careful preparation and amendment of letters of engagement and other contract documentation to assist in the efficient execution of project work.
- Raise purchase orders and process invoices in ARTC's financial system (CiAnywhere) to ensure payments are made accurately and on time.
- Prepare and distribute correspondence, meeting minutes, presentations, and reports as requested by management, ensuring accuracy and efficiency to support effective internal and external communication.
- Procure goods and services, including arranging travel and accommodation, in accordance with ARTC policies and procedures.
- Contribute to projects and perform other duties as required, supporting team objectives and operational needs.
- Proactively support and participate in Work Health and Safety initiatives.
What do we want from you?
Essential:
- Ability to work as part of a team and to step up, meet deadlines and provide additional support within the team when required.
- Highly organised with strong attention to detail and a demonstrated ability to think analytically.
- Proficient knowledge and experience with Microsoft Office applications.
- Demonstrated advanced written and verbal communication skills.
- Proven experience in a previous administration role.
- Demonstrated experience in providing customer service to internal and external customers.
- Ability to learn new IT systems and processes.
- Ability to work independently with limited supervision.
- Demonstrated ability to use judgement and discretion in the dissemination of information.
- Demonstrated ability to prioritise and manage multiple tasks simultaneously.
Desirable:
- Previous experience using CiAnywhere for processing purchase orders, invoice payments, and financial data entry.
- Knowledge of the rail industry.
- Experience or exposure with civil construction and knowledge of construction contracts.
