I am currently recruiting for a permanent, full-time vibrant, detail-oriented Receptionist/Administrator to join a high-end, medically-led cosmetic and plastic surgery practice based in Sydney CBD. In this fast-paced, high-end medical environment, you'll be the first point of contact for all clients and patients, setting the tone for an exceptional experience from the moment they walk through the door.

It is highly beneficial if you come from a medical or cosmetic background and are familiar with medical terminology, Genie software and have experience with up-selling products. That knowledge will help you hit the ground running and thrive in our fast-paced, detail-driven environment.

Your new role

  • Delivering warm, professional customer service across all channels
  • Managing appointment bookings and confirmations
  • Handling client payments and deposits
  • Opening and closing the clinic, ensuring readiness each day
  • Advising on skincare products and facilitating sales
  • Assisting with client prep, including makeup removal and numbing
  • Taking pre- and post-treatment photos (and occasional social media filming)
  • Generating treatment quotes under clinical guidance
  • Supporting minor procedures, including pathology coordination
  • Ensuring referrals are received prior to surgical consults
  • Sending registration forms and managing patient files
  • Attending product and staff training sessions
  • Unpacking and organising stock and skincare
  • Maintaining clinic cleanliness and kitchen supplies
  • Managing banking, deposits, and spreadsheets
  • Responding to email enquiries for non-surgical bookings
  • Creating a warm, inviting clinic ambience
  • Keeping treatment and laser rooms clean and stocked
  • Overseeing display stock and promotional materials
  • Preparing files and ensuring smooth daily operations

What you'll need to succeed

  • Previous experience with Genie software and Pipedrive is highly beneficial.
  • A warm, welcoming demeanor with the ability to make clients feel comfortable and valued.
  • Clear, articulate communication skills, especially when discussing sensitive procedures or scheduling consultations.
  • Ability to manage appointments, patient records, and follow-ups with precision.
  • Maintains a high standard of personal presentation
